Full job description

Position Overview: The Procurement Assistant plays a vital role in supporting the procurement activities of the Elections Division within the County Clerk’s Office. This position is responsible for assisting with the purchasing of goods and services, ensuring compliance with Harris County purchasing policies and procedures, and providing efficient support to all departmental procurement needs.

Duties and Responsibilities:• Create, review, and submit requisitions for approval through Harris County Purchasing, and forward approved purchase orders to vendors.

  • Process invoices and payments to vendors for services rendered.
  • Maintain inventory levels and a working knowledge of all office assets, both capital and non-capital.
  • Obtain quotes from suppliers to support the processing of order requests.
  • Process supply orders and service requests submitted by department heads.
  • Communicate with new vendors to obtain required documentation for creating a Supplier ID in STARS and forward all materials to Harris County Purchasing.
  • Assist Harris County Purchasing with the inspection of capital asset inventory.
  • Manage surplus inventory.
  • Perform other related duties as assigned.

Must meet all eligibility requirements to register to vote in the State of Texas.

Education and Experience:

  • High School Diploma or G.E.D. equivalent from an accredited educational institution with
  • Two (2) years of related experience

OR• An Associate degree in a related field.

PLUS

  • Two (2) years of experience using any ERP financial system.
  • Two (2) years of experience performing clerical, administrative, or fiscal work.
  • Advanced Excel skills, including pivot tables, VLOOKUP, and related functions.

Knowledge, Skills, and Abilities:

  • Ability to prioritize work assignments.
  • Ability to process transactions and perform accounting duties such as account maintenance, recording entries, and reconciling accounts.
  • Exceptional customer service skills.
  • Ability to manage projects from start to finish.
  • Ability to meet strict processing deadlines.
  • Ability to analyze data to track ordering and spending patterns.
  • Strong judgment and decision-making skills.
  • Strong leadership and communication skills.
  • Detail-oriented.

Position Type and Typical Hours of Work:

  • Temp Full-time | Position End Date: 04/30/2027 - This is a temporary position being onboarded through a Harris County-contracted agency.

  • Monday – Friday | 8:00 A.M. to 4:30 P.M.

  • Overtime hours as required to include extended hours and weekends during election periods.

Salary:

  • $25.00 Hourly

Work Environment and Physical Demands:• This job operates in a professional office environment.

  • This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • This position requires bending, stooping, and lifting up to 20 lbs., as well as frequent walking, standing, sitting, reaching, and ascending/descending stairs.

Employment is contingent upon passing a background check and drug screen.
