Front Office and Administrative Coordinator

Location: Minneapolis, MN

Schedule: Monday-Friday, 8:00 a.m.-5:00 p.m.

Work Arrangement: Fully onsite

Compensation: $65,000-$75,000 plus 15% bonus potential

A growing professional services organization in downtown Minneapolis is seeking an experienced Front Office & Administrative Coordinator to support day-to-day office operations, reception, hospitality and administrative needs. This is a highly visible role for a polished, personable professional who enjoys creating a welcoming office environment while keeping multiple priorities moving behind the scenes.

The ideal candidate is proactive, resourceful and comfortable taking ownership. You will be expected to learn the organization and its processes, then work independently, anticipate needs and find solutions without needing constant direction.

What You’ll Do

  • Serve as a welcoming first point of contact for employees, clients, guests and other visitors.

  • Manage front office and reception activities, including greeting guests, handling incoming calls and coordinating visitor access.

  • Coordinate conference room schedules and meeting logistics, including room setup, catering and technology needs.

  • Help maintain a professional, organized and welcoming office environment.

  • Coordinate office maintenance, deliveries, vendors and other facilities-related requests.

  • Monitor and replenish office, kitchen and meeting supplies.

  • Assist with catering, meeting setup and other hands-on office needs.

  • Provide backup administrative and office support to other team members as needed.

  • Coordinate meetings and calendars, including scheduling across multiple participants, resolving conflicts and managing last-minute changes.

  • Support meeting preparation, note-taking, action-item tracking and follow-up.

  • Assist with travel coordination and expense reporting.

  • Support special projects and administrative initiatives.

  • Identify opportunities to improve office processes, organization and the overall employee and guest experience.

Requirements

What You Bring

  • 3+ years of experience in administrative support, office coordination, reception, hospitality, customer service or a related professional environment.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • A polished, professional and welcoming presence.

  • Strong customer service and hospitality instincts.

  • Ability to work independently and take ownership after receiving initial direction.

  • Strong problem-solving skills and sound judgment.

  • Ability to manage multiple priorities, interruptions and changing needs while maintaining attention to detail.

  • A collaborative, team-oriented approach and willingness to pitch in wherever needed.

  • Proficiency with Microsoft Office and SharePoint.

  • Experience with Salesforce and/or Workday is a plus.

  • Undergraduate degree preferred.
