About Us

As part of The Freeman Company, Event & Exhibit Services designs and delivers unforgettable moments that create a bond between audiences and our clients. It’s just one reason why we’re the leader in live events.

Summary

The Project Manager – Show Site applies industry and technical knowledge to communicate, harmonize, and deliver client production requirements. Serving as the primary operational anchor on-site, this role bridges sales, project design, facility management, and union labor to guarantee a seamless flow of information, optimize efficiencies, and control costs.

From initial pre-production through load-in, live execution, strike, and post-event financial reconciliation, the Project Manager fosters a customer-forward, collaborative environment. Furthermore, this role partners with internal Process Improvement teams, utilizing data and real-time site logs to refine workflows year-over-year while maintaining extreme adaptability in dynamic event environments. Adhering strictly to established Standard Operating Procedures (SOPs), and ensuring daily operational goals and expectations are clearly communicated to all union and vendor crews on-site.

This position will support our Audio Visual Production team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show site 3 days a week based out of Las Vegas, NV.

Essential Duties & Responsibilities

  • Collaborative Team & Union Labor Management:

  • Partner with National Labor and site leads to oversee proper staffing, new hire paperwork, badging/credentials, and check-in procedures for union members and external vendors.

  • Maintain a clear understanding of union jurisdictions, local subarea rules, and facility guidelines. Direct daily shift tracking, meal break compliance, overtime logs, and accurate timekeeping records.

  • Foster an inclusive, supportive, and client-focused atmosphere across technical leads, vendor crews, digital/streaming leads, and union labor teams.

  • Pre-Production Planning & Technical Design:

  • Participate in facility site surveys and initiate early coordination with venues to align technical footprints with venue rules and schedules.

  • Collaborate with the Project Design Team to review and adapt technical layouts (including Vectorworks designs) for audio, video, lighting, scenic, and rigging systems within budget and safety standards.

  • Establish pre-production timelines, schedule and facilitate internal/external kickoff meetings, and manage project deliverables via project management applications (e.g., Workfront).

  • Review show specifications to accurately scope, order, and stage gear, tools, and supplies with the Warehouse and Event Tech Logistics teams. Coordinate trucking arrangements and freight schedules.

  • End-to-End On-Site Execution:

  • Translate engineering plans into actionable floor schedules; supervise load-in and technical integration to ensure safe, on-time completion.

  • Serve as the central operational point of contact for the client, facility, and show staff. Facilitate daily shift meetings to communicate objectives, document changes, and resolve real-time technical or operational challenges.

  • Coordinate with Digital Services and Streaming Leads to ensure clear execution of hybrid or virtual event offerings.

  • Direct floor tear-down, equipment audits, load-out sequences, and truck loading to ensure safe and efficient site clearance.

  • Site Documentation, Debriefs & Process Improvement:

  • Maintain daily operational logs documenting labor usage, gear issues, order updates, and site bottlenecks.

  • Conduct event debriefs with clients and internal stakeholders. Partner with Customer Solutions Managers to review purchase orders, labor costs, and invoices for accurate billing and financial wrap-up.

  • Compile post-show reports and collaborate with Process Improvement teams to convert site documentation into updated workflows, enhanced systems, and elevated service delivery year-over-year.

  • Adaptability & Environment:

  • Pivot seamlessly between administrative oversight, union relations, client management, and live technical troubleshooting in high-pressure environments.

  • Fundamental Principles & Competencies:

  • Customer Focus: Delivers exceptional service to clients, vendors, and internal teams; manages high-pressure situations with professionalism and urgency.

  • Adaptability & Flexibility: Flourishes in matrix environments and adapts smoothly to shifting technologies, venue constraints, and client demands.

  • Resourcefulness & Process Improvement: Actively identifies process gaps, assesses risks, and champions new ideas to elevate service quality.

  • Dependability & Ethics: Meets critical deadlines independently, upholds ethical standards, and manages sensitive information responsibly.

  • Critical Thinking & Problem Resolution: Uses logic, analytical skills, and mathematical reasoning to solve complex variables where limited standardization exists.

Education & Experience

  • Education: High School Diploma/GED required; Bachelor’s degree in a related field preferred.

  • CAD & Layouts: Ability to read and interpret technical floor plans, rigging plots, and room layouts (using tools like Vectorworks or AutoCAD).

  • Minimum 5–7 years in convention, trade show, hotel, or staging operations.

  • Minimum 3–5 years in Audio/Visual Project Management or live event production.
