Administrative Associate 3 1517375 * Hourly Pay: $40/hr * Worksite: Leading university (Palo Alto, CA 94304 - Hybrid) * W2 Employment. Group Medical, Dental, Vision, Life, Retirement Savings Program, PSL * 40 hours/week, 12 Month Assignment (With possibility of extension) A leading university seeks an Administrative Associate 3 to provide administrative and financial coordination support within a Neurology Data Information Center Lab. Administrative Associate 3 Responsibilities: * Provide general administrative support including calendar management, meeting scheduling, travel arrangements, and processing reimbursements. * Coordinate and organize conferences, seminars, and events, including all related logistics and scheduling. * Respond to inquiries and determine appropriate action as required, while supporting project management, contract submissions, and IRB (Institutional Review Board) submissions. * Oversee and/or process a variety of complex financial transactions, including producing, monitoring, and reconciling budget statements, and researching, identifying, and resolving discrepancies. * Support administrative personnel onboarding/offboarding. Administrative Associate 3 Qualifications: * 5-10+ years of high-level administrative experience, or an equivalent combination of education and relevant experience. * Proficient computer skills with demonstrated experience using office and email software. * Excellent customer service and interpersonal skills. * Experience in an academic or medical center environment. * Experience coordinating events and logistics. * Experience with project management tools. * Experience navigating university financial management tools such as Oracle is preferred. Shift: * Hybrid: probably 3 days in-office (Monday, Wednesday, Thursday). (H)
