Description

This is atemporary, approximately six-month assignmentbackfilling for an employee on military leave. The Temporary Facilities Administrator serves as the primary point of contact for facility-related needs across all office locations and provides responsive administration and coordination to support safe, functional, and productive workplaces. This role partners closely with employees, property managers, and vendors; prioritizes and tracks requests; communicates timely updates; and follows each issue through completion. The position requires sound judgment, a strong sense of urgency, excellent follow-up, and the ability to manage multiple priorities in a fast-paced environment.

Essential Functions:

  • Serve as the primary point of contact for facility-related questions, requests, and urgent issues across all office locations; assess priorities, coordinate the appropriate response, communicate status updates, and ensure each matter is resolved and documented.

  • Build and maintain effective working relationships with employees, property managers, landlords, and office-related vendors; dispatch service requests, confirm schedules, monitor progress, and follow up through completion.

  • Maintain an organized log of open facility requests, vendor commitments, service dates, and resolutions; escalate safety, security, service interruption, or business-continuity concerns promptly to the appropriate leader.

  • Coordinate planned maintenance, repairs, inspections, access needs, and vendor visits while minimizing disruption to employees and office operations.

  • Monitor and restock office and kitchen supplies, ensuring availability for employees in multiple locations; keep kitchen areas tidy and stocked, coordinate monthly refrigerator clean-outs, and run and empty dishwashers as needed.

  • Manage badge access system and badging creation and processes for employees and new hires

  • Help support deliveries both incoming and outgoing as needed.

  • Other administrative duties as needed

Knowledge, Skills and Abilities Required:

  • Demonstrated ability to work with a strong sense of urgency, quickly assess priorities, and respond calmly and effectively to time-sensitive facility issues.

  • Exceptional follow-up and ownership; able to track multiple requests, meet commitments, communicate progress, and drive issues to timely resolution.

  • Excellent interpersonal, customer-service, and communication skills, with the ability to work effectively and respectfully with employees at all levels, property managers, and external vendors.

  • Strong organizational, prioritization, and multitasking skills, including the ability to shift focus as business needs change while maintaining attention to detail and accuracy.

  • Sound judgment and problem-solving ability, including knowing when to resolve an issue independently and when to escalate safety, security, cost, or operational concerns.

  • Ability to coordinate vendors, compare or confirm service details, maintain accurate records, and hold partners accountable for schedules and deliverables.

  • Ability to work independently, maintain continuity during a temporary assignment, and learn established office procedures, contacts, systems, and priorities quickly.

  • Familiarity with office facilities coordination and basic maintenance needs, with a safety-conscious and service-oriented approach.

  • Professional, dependable, discreet, and friendly demeanor.

Other Requirements

  • Two-year degree is preferred in related field.

  • Previous experience in an administrative role.

  • Prior experience using MS office products, specifically outlook, MS Word and Excel

Compensation:

Our job titles may span more than one career level. The hourly rate for thistemporaryrole is is between $28.00 - $30.00 The actual salary offered may be influenced by a variety of factors, such as: training, transferable skills, work experience, education, business needs, market demands and work location. The base pay range is subject to change and may be modified in the future.
