Full job description

Description We are looking for a Grant Administrator to support the coordination of grant and contract activities for a team based in Seattle, Washington. This is a Long-term Contract position focused on maintaining accurate records, supporting proposal submissions, and helping ensure award and reporting activities stay on schedule. The ideal candidate is organized, detail-oriented, and comfortable managing multiple deadlines while working collaboratively across teams.

Responsibilities:

  • Coordinate proposal setup activities by recording internal submission timelines, organizing communication channels, and notifying relevant stakeholders of next steps.

  • Review proposal components to determine whether subrecipient participation is involved, monitor incoming documentation, and follow up to collect missing items before deadlines.

  • Maintain orderly proposal files by saving materials in the correct folders and applying established document naming standards.

  • Update opportunity records after submission by changing status details, recording final submission dates, and entering available submission information accurately.

  • Support award setup by reviewing required record fields for completeness, confirming key award details, and adding assigned program codes once provided by Finance.

  • Manage executed grant and contract documents by filing finalized agreements appropriately and coordinating signature routing when requested.

  • Track reporting obligations tied to applicable agreements, remind program teams of upcoming due dates, and confirm completed reports are submitted and archived properly.

  • Assess grants and contracts file structures over time and recommend practical improvements that strengthen consistency, organization, and ease of access.

  • Contribute to process improvement efforts by adopting new tools, technology, and AI-enabled resources that help the team work more efficiently. Requirements • Demonstrated ability to manage follow-up tasks independently and bring assignments to completion without close supervision.

  • Strong attention to detail with a consistent focus on accuracy, completeness, and quality control in documentation.

  • Proven ability to balance multiple deadlines, organize competing priorities, and raise concerns early when issues may affect timelines.

  • Comfortable asking questions, learning unfamiliar processes, and seeking guidance when needed to move work forward effectively.

  • Collaborative and service-oriented approach with the ability to work productively across internal teams.

  • Experience handling document organization, records maintenance, or contract and grant-related administrative support.

  • Proficiency with Google Drive and other digital tools used for document tracking, file management, and team coordination.
