Job Summary

The Management Coordinator position provides administrative support to the Senior Vice President and Chief Financial Officer, includingcoordinating calls and meetings with investors, general meeting and event planning, preparing and editing writtenmaterials, conducting basic research and assisting with other ad hoc items as needed.

Essential Duties & Responsibilities

More specifically, the Management Coordinator is responsible for the following:

  • Provide strong comprehensive coordination and administrative support to the Chief Financial Officer.

  • Coordinate virtual and in-person meetings with investors. Field and triage inquiries from the investor community.

  • Serve as a general liaison with internal/external stakeholders, managing communication and correspondence efficiently and professionally.

  • Coordinate general internal and external events (both in-person and virtual), including budgeting, room set-up, preparation of meeting materials, and agenda preparation.

  • Design, prepare, and/or edit written and digital materials for both internal and external audiences using PowerPoint, Excel and Word.

  • Conduct basic research, compile data as needed, and use digital and AI-enabled tools to support drafting, summarization, and administrative efficiency while exercising sound judgment, accuracy, and confidentiality.

  • Handle confidential information with discretion and professionalism.

  • Perform basic bookkeeping tasks such as expense reports, invoicing, and budgeting and expense-tracking.

  • Perform general administrative duties, such as preparing correspondence, proofreading documents, copying, filing, ordering of supplies.

  • May support various special projects, particularly involving budgets and preparations for Board and senior management meetings.

  • Assist other departments and executives with special assignments as needed.

Qualifications

Management Coordinator qualifications and experience required include:

  • Associates degree or equivalent experience required.

  • Minimum five years’ administrative experience in a corporate environment strongly preferred,experience with a Fortune 500 company preferred.

  • Ability to effectively and professionally communicate and interact with personnel at all levels withinthe company and outside of it.

  • Able to maintain a high level of confidentiality and discretion.

  • Strong time management, organizational, oral, and written communication skills.

  • Proactive, self-motivated, and detail-oriented.

  • Strong analytical skills, with excellent problem-solving ability.

  • Advanced PC skills, including Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, and Visio),Docusign, and the ability to learn and use new business systems, collaboration platforms, andworkflow or automation tools.

  • Proficiency using AI-assisted productivity tools, including M365 Copilot, to support meetingpreparation, note organization, document drafting, summarization, and information retrieval, withthe ability to validate outputs, protect confidential information, and apply appropriate judgment in a

corporate environment.

Compensation Range: $100,000-$113,000 annually

Other Compensation: this position is bonus eligible.
