Description

Accounting & Administrative Coordinator

Location: Irving, TX

Schedule: 100% onsite | Flexible 7:00 AM–3:00 PM or 8:00 AM–4:00 PM

About the Opportunity

We are partnering with a growing, privately held company to identify an Accounting & Administrative Coordinator who enjoys wearing multiple hats and being an important part of a close-knit team.

This is a great opportunity for someone who wants to build a career across accounting, administration, and HR while working closely with experienced leadership. You don't need to have years of experience or a specific degree—what matters most is that you're dependable, organized, comfortable working with people, and eager to learn.

The ideal candidate is someone who can confidently communicate with employees, customers, and vendors in both English and Spanish and is comfortable taking ownership of a variety of responsibilities throughout the day.

What You'll Do

Accounting & Finance

  • Process invoices and support the full Accounts Payable cycle

  • Perform credit card and account reconciliations

  • Prepare and post journal entries

  • Assist with bank and vendor reconciliations

  • Support month-end close activities

  • Maintain accurate accounting records and documentation

  • Assist with payroll, employee expense reimbursements, and other accounting projects

  • Learn and utilize accounting software, including Foundation

Human Resources & Employee Support

  • Coordinate onboarding for approximately 5–10 new employees per week

  • Prepare new-hire paperwork and maintain employee files

  • Assist with benefits enrollment and HR documentation

  • Track employee training, certifications, and personnel records

  • Help coordinate interviews and other recruiting activities

  • Serve as a resource for employees and help ensure a smooth onboarding experience

Office Administration

  • Welcome visitors and serve as a professional first point of contact

  • Answer and direct incoming calls

  • Coordinate calendars and conference room scheduling

  • Manage office supplies, mail, and packages

  • Provide administrative support to leadership and team members

  • Help keep day-to-day office operations organized and running smoothly

Requirements

What We're Looking For

  • Bilingual in English and Spanish — required

  • At least 1 year of experience in accounting, bookkeeping, HR, office administration, or a related environment

  • Exposure to Accounts Payable and/or journal entries

  • Strong attention to detail and organizational skills

  • Professional and confident communication style

  • Comfortable interacting with employees, customers, vendors, and leadership

  • Strong Microsoft Excel and Outlook skills

  • Ability to learn new systems and processes quickly

  • Dependable, proactive, and willing to jump in wherever needed

  • Professional presentation and a positive, team-oriented attitude
