Overview

We are searching for a strategic, highly proactive EABP 2 to support the SVP, Human Resources Business Partner (HRBP), and two Director-level leaders within our People & Places team. The ideal candidate is a self-motivated strategic partner who thinks end-to-end, connects the dots across our highly matrixed organization, and increasingly solves problems independently on the SVP's behalf — staying two steps ahead through a rigorous, fast-paced day. This role is part of a broader EA community, working hybrid a minimum of three days a week out of our San Diego office.

Responsibilities

  • Complex Calendar Management: Coordinate high-stakes calendars strategically rather than transactionally — balancing competing priorities across meetings, employee relations matters, and strategy sessions; qualify requests, proactively solicit agendas, and orchestrate alignment across teams.

  • Travel Coordination: Manage travel arrangements and itineraries, proactively troubleshooting disruptions to keep the SVP's schedule on track.

  • Confidential Document Management: Safeguard sensitive reports, records, and files with absolute discretion, serving as a trusted advisor to the leadership team.

  • Department Liaison: Act as the primary point of contact between business executive assistants, internal staff, and company leadership, facilitating smooth information flow across the organization.

  • Cross-Functional Influence: Act as a central hub for information across business units and functional groups (BU/FG) — sharing ideas, negotiating with diverse stakeholders, and proactively navigating bottlenecks to arrive at solutions that satisfy broader business needs.

  • Operational Alignment: Drive the EABP team's operating mechanisms (weekly huddles, monthly syncs) and maintain an active pulse on the organization's vision, strategy, and priorities to ensure robust cross-organizational alignment.

  • Accountability Leadership: Take extreme ownership of decisions and commitments while promoting a sense of urgency and establishing clear, individual accountability across the team.

  • Process Optimization: Advise team members on applicable policies and procedures, creating scalable templates to elevate daily operations.

  • Tech Adaptation: Champion new technologies (GenAI, advanced collaboration platforms, web conferencing, HR tools) to maximize efficiency and drive modern ways of working.

  • Administrative Workflow: Prepare professional reports and presentation slides, and manage expense reports and department records.

  • Culture & Inclusivity: Inspire a deep sense of belonging and high team morale through open dialogue, active consideration of diverse perspectives, and strong peer collaboration.

Qualifications

  • Minimum of 8 years at the executive administrative level, preferably supporting SVP+ Self-starter who operates independently, prioritizes ruthlessly, and anticipates needs before being asked; creative problem solver energized by challenges

  • Exceptional judgment and trustworthiness in handling highly confidential information with 100% integrity

  • Adaptability and perseverance — embraces change and sees things through to completion regardless of obstacles

  • Excellent verbal and written communication skills, with the ability to build effective relationships at all levels of the organization

  • Cultural steward who brings an element of fun and caring to the workplace

  • Advanced proficiency in Microsoft 365 (Outlook, Excel, PowerPoint, SharePoint) or Google Suite (Drive, Docs, Sheets); advanced Outlook calendar management is critical

  • Ability to format high-level presentations and manage database applications

The expected base pay range for this position is:

San Diego $47 - $63.5
