Full job description
Description We are looking for a highly organized Project Coordinator (Construction) to support billing accuracy and project administration for a busy team in Portland, Oregon. This contract position with potential for a permanent role focuses on coordinating project documentation, tracking job-related financial details, and helping ensure invoices are issued correctly and on schedule. The ideal candidate brings construction-related experience, strong attention to detail, and the ability to manage multiple priorities in a fast-moving environment while communicating effectively with both internal teams and customers.
Responsibilities:

Partner with project managers to prepare timely and accurate customer invoices based on project activity and contract terms.

Establish new jobs in internal systems and maintain organized project records throughout the lifecycle of each assignment.

Review project cost data, investigate discrepancies, and assist with reconciliation to support reliable billing and reporting.

Prepare cost-to-complete information and contribute to the tracking of financial progress on active construction projects.

Compile and distribute recurring project reports, including weekly updates and workforce-related summaries, to relevant stakeholders.

Monitor payment status, follow up with customers regarding outstanding balances, and support collection efforts in a thorough manner.

Assist with administrative contract documentation such as subcontract records, change order paperwork, insurance compliance items, and lien release tracking.

Support project closeout activities by confirming required billing, documentation, and final project records are completed accurately. Requirements • At least 2 years of administrative support experience in a detail-oriented office environment.

Minimum of 1 year of experience in construction or a closely related industry.

Working knowledge of billing processes, invoice preparation, and payment follow-up activities.

Experience with cost tracking, job costing support, or related project financial coordination tasks.

Strong computer skills and comfort working with billing systems and digital reporting tools.

Excellent organizational skills with the ability to manage high-volume work and shifting priorities.

Strong written and verbal communication skills for collaboration with internal teams and external customers.
