Job Summary

Provides comprehensive support across all functions of the Talent Acquisition department, from interview scheduling and candidate coordination through onboarding and post-offer activities. Serves as a key resource to candidates, hiring managers, recruiters, and other stakeholders by coordinating and supporting the administrative and operational aspects of the recruitment process.

Performs a wide range of organizational, customer service, and administrative responsibilities to ensure an efficient, accurate, and compliant hiring process. Demonstrates strong attention to detail, manages competing priorities effectively, and delivers high-quality work in a timely manner.

Works with limited supervision and exercises sound judgment, discretion, and initiative in carrying out day-to-day responsibilities while maintaining a high level of professionalism and customer focus.

Job Description

What you’ll do:

  • Partners closely with Talent Acquisition Specialists to ensure a streamlined, effective, and compliant recruitment process that delivers a positive experience for both candidates and hiring managers.

  • Coordinates and schedules interviews by collaborating with candidates, hiring managers, and interview teams to ensure a seamless interview experience.

  • Arranges candidate travel and accommodations when necessary and processes related reimbursement requests in a timely manner.

  • Manages post-offer and pre-employment requirements, ensuring background checks, drug screenings, required physical examinations, and Form I-9 documentation are completed accurately and within established timelines. This includes scheduling, monitoring, and tracking the completion of drug tests and physicals.

  • Reviews and audits candidate and hiring documentation throughout the recruitment process to ensure accuracy, completeness, policy compliance, and regulatory adherence.

  • Supports a high-quality hiring experience by proactively monitoring process milestones, identifying issues, and coordinating timely resolution with stakeholders.

What we’re looking for:

Talent Acquisition Coordinator Senior SG4

Education:

  • High School Diploma or GED (associate’s degree in a related area preferred).

  • Experience:

  • Six years of experience in the field or in a related area.

  • Experience should also include varied business situations or circumstances which tend to favorably develop the job incumbent in terms of confidentiality, maturity, discretion, personal tact, judgment and initiative.

  • Knowledge of human resources recruiting policies and procedures - experience and knowledge of all steps in the full life-cycle of recruiting.

In addition:

  • Customer-focused professional with a strong sense of ownership and a commitment to delivering exceptional service.

  • Creates a welcoming, professional, and positive experience for candidates throughout the hiring process.

  • Demonstrates excellent verbal and written communication skills, with the ability to interact effectively with candidates, hiring managers, and internal stakeholders.

  • Technologically proficient, with experience using applicant tracking systems (ATS) and strong skills in Microsoft Office applications, including Word, Excel, and PowerPoint.

  • Experience with Workday is preferred but not required.

  • Builds collaborative relationships and works effectively across teams to achieve recruiting and business objectives.

  • Highly organized with demonstrated ability to prioritize competing responsibilities, manage multiple tasks simultaneously, and thrive in a dynamic, fast-paced environment.

  • Maintains attention to detail while balancing deadlines and adapting to changing priorities.
