Full job description

Description

The office runs better when you're the one running it.

A growing construction and engineering services organization is seeking a hands-on Office Manager to oversee daily office operations and provide administrative support across accounting, project coordination, and leadership. This is not simply a receptionist role with a different title. The company needs someone who can take ownership of the office, anticipate what the team needs, keep vendors and documentation organized, and make sure day-to-day operations stay on track. You'll be the central point of contact connecting management, project teams, vendors, and office staff. The ideal candidate is resourceful, organized, and comfortable switching between administrative priorities, basic financial tasks, and operational problem-solving. Someone who enjoys improving processes rather than just maintaining them will thrive here.

What you'll oversee:

  • Manage daily office operations, including supplies, equipment, facilities requests, and vendor relationships.

  • Coordinate calendars, meetings, office communications, and internal events.

  • Prepare and organize project documents, contracts, proposals, and correspondence.

  • Assist with invoice processing, expense tracking, purchase orders, and payment follow-up.

  • Maintain spreadsheets for project expenses, vendor information, and office budgets.

  • Coordinate with accounting on AP documentation and outstanding invoice questions.

  • Support employee onboarding, office access, equipment requests, and administrative records.

  • Track office spending and identify opportunities to improve purchasing processes.

  • Help maintain organized electronic files and document retention procedures.

  • Assist project managers with meeting notes, scheduling, and document distribution.

  • Troubleshoot day-to-day office issues and coordinate resolutions with vendors.

  • Develop procedures to improve workflow, organization, and accountability.

Requirements

  • 3+ years of office management, operations coordination, or senior administrative experience.

  • Experience supporting a construction, engineering, or project-based organization is a plus.

  • Working knowledge of invoices, expenses, purchase orders, or basic bookkeeping.

  • Strong Microsoft Excel, Word, and Outlook skills.

  • Excellent organization and time-management abilities.

  • Confidence communicating with leadership, vendors, and project teams.

  • Ability to prioritize competing requests without losing track of details.

  • A self-starter mentality and a practical, solutions-focused approach.
