The Administrative Support Professional provides Command Pay and Personnel Administrator (CPPA) services, correspondence management, office automation, military awards processing, personal evaluations and fitness reports processing, directives and forms management at the Information Warfare Training Command in Monterey, CA.

Responsibilities

  • Perform CPPA duties as the representative for matters affecting pay, transportation, advancement, service record maintenance for both staff and students, and attend meetings.

  • Process documents via Enterprise Customer Relations Management (eCRM) SalesForce necessary for service record entries.

  • Initiate and prepare outgoing correspondence in accordance with originator instructions and the Navy Correspondence Manual (copy to be provided to contractor at start of the contract), and review for completeness and correctness. The contractor shall ensure all typed correspondence is proofread and the routing annotated on the routing transmittal.

  • Assemble all correspondence in correct sequence, send prepared correspondence to the appropriate person through the commands applicable routing chain for signature, monitor all outgoing action correspondence and send tracer if necessary.

  • Type, edit, format, and print a wide variety of documents for the command staff, including correspondence, technical reports, organizational proposals and justifications, technical notes, instructions, notices and other directives.

  • Edit enlisted evaluations and officer fitness reports, letters of extension, and performance information memorandums.

  • Serve as command muster coordinator. Maintain an updated Detachment telephone directory. Provide customer assistance to callers or visitors.

  • Process and review requests for new or revised directives, draft requested directives, and distribute for comments and changes to appropriate government approving personnel.

  • Proofread final directive, obtain signature or approving authority, prepare reproduction request, or copy directive for distribution, develop a history file for each new directive, and insert all attachments and comments.

  • Serve as Command Leave Administrator, set-up command electronic leave procedures for staff active-duty personnel.

  • Receive notification of prospective gains and losses, request sponsors, and prepare and mail welcome aboard letter and package for each prospective gain.

  • Maintain a long-distance phone log and review and verify the Administrative Departments telephone calls.

  • Ensures adherence to all company safety rules and SOPs in area of responsibility

  • Rectifies unsafe actions and/or conditions immediately

  • Participate in maintaining safe work environment by sharing and participating in all safety related meetings, training, etc.

  • Other duties as assigned

Qualifications

  • High School diploma or equivalent is required.

  • 2+ years of experience.

  • Prior military experience preferred.

  • Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.

  • Must possess and maintain an active Secret security clearance. Must successfully complete Tier 3 background investigation.

  • Successfully pass background and drug screening.

Knowledge, Skills and Abilities:

  • Ability to work under deadline pressure, handle stress and deliver professional results.

  • Strong written and oral communication skills, organizational skills, and attention to detail.

  • Self-motivated with minimal oversight.

  • Computer skills including Microsoft Word, Excel, PowerPoint, and Outlook.
