This is a day shift (M-F) hybrid position.

Summary:

Performs a variety of administrative functions in support of a program or an administrative official in carrying out departmental financial and operating procedures and/or a program's administrative activities.

Responsibilities:

  1. Manages complex executive calendar and scheduling activities, prioritizing competing demands, resolving scheduling conflicts, and coordinating meetings, interviews, and leadership engagements.

  2. Provides comprehensive administrative support to division chief, including calendar management, meeting preparation, travel coordination, request triage, and monitoring of commitments, deadlines, and deliverables.

  3. Develops, implements, and maintains administrative processes and workflows to ensure efficient tracking of meeting requests, deadlines, action items, and follow-up activities.

  4. Coordinates administrative operations for strategic initiatives and divisional programs, including scheduling, event planning, travel arrangements, and project-related activities.

  5. Manages meeting, travel, and event logistics, including itinerary development, accommodations, expense reimbursement processing, and related administrative support.

  6. Plans and coordinates division events and special programs, overseeing logistics, budget tracking, financial reconciliation, and participant communications to ensure successful execution.

  7. Provides operational and administrative support to the Division Administrator, assisting with special projects and/or requests as they relate to the Division Chief, and other functions as assigned.

Other Information

Education Requirements:

  • High school diploma or GED required; higher-level degree may satisfy this requirement.

Licensure/Certification Requirements:

  • No licensure or certification required.

Professional Experience Requirements:

  • Three (3) years of clerical or administrative experience.

  • If Bachelor's degree, one (1) year of clerical or administrative experience.

  • If Associate's degree, two (2) years of clerical or administrative experience.

Knowledge/Skills/and Abilities Requirements:

  • Exceptional organizational and time-management skills with the ability to manage multiple priorities and deadlines.

  • Advanced calendar management and scheduling skills, including coordination of complex meetings and leadership activities.

  • Strong verbal and written communication skills with the ability to interact effectively with diverse stakeholders.

  • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion. Strong attention to detail and accuracy in managing administrative processes, logistics, and documentation.
