Graduate Assistant Coordinator (HR Coordinator)

GENERAL DUTIES

Provides information and services to the College community to support the Human Resources function.

  • Prepares and executes various personnel transactions involving employee recordkeeping, processing of new hires, pay administration, and recruiting

  • Maintains an understanding of policies, procedures, regulations, and collective bargaining agreements relevant to human resources

  • Organizes and processes employee information; develops and maintains reports and queries; assures data accuracy and completeness

  • Responds to requests for information; troubleshoots issues, follows up and responds to employee inquiries

  • Assists HR managers with employee communications of all kinds; may prepare materials, conduct orientation sessions, or update web pages

  • Performs related duties as assigned.

The Graduate Center (GC) is the principal doctorate-granting institution of the City University of New York (CUNY). Offering more than thirty doctoral degrees from Anthropology to Urban Education, and fostering globally significant research in a wide variety of centers and institutes, the GC provides academic training in the humanities, sciences, and social sciences. The Graduate Center is also integral to the intellectual and cultural vitality of New York City. Through its extensive public programs, The Graduate Center hosts a wide range of events - lectures, conferences, book discussions, art exhibits, concerts, and dance and theater that enrich and inform.

The Office of Human Resources (OHR) supports a vibrant, diverse, and inclusive employee community at The Graduate Center and at its affiliated CUNY colleges and professional schools, which include the Graduate School of Journalism, Macaulay Honors College, School of Professional Studies, and Graduate School of Public Health and Health Policy. Our comprehensive programs include employee relations, recruitment, benefits, compensation, professional development, coaching, and mentoring, with emphasis on quality and responsiveness.

The Office seeks a Graduate Assistant Coordinator who will maintain the operations and all aspects of the Graduate Assistant Program while providing quality customer service. S/he will manage all appointments and reappointments for 1300+ Graduate Assistants, the largest employee population at the GC.

Reporting to the Deputy Director of Human Resources, the Coordinator reviews and processes complex appointments and reappointments; schedules and conducts orientations; and ensures full compliance with the Professional Staff Congress (PSC)/CUNY Collective Bargaining Agreement and all CUNY HR policies and procedures.

Duties include but are not limited to:

  • Maintains web based orientation program and conducts orientation;

  • Coordinates the HR portion of annual One Stop Program for incoming Graduate Assistants;

  • Researches Graduate Assistant inquiries and requests and provides responses and guidance;

  • Utilizes Payserv to resolve salary discrepancies;

  • Works closely with Systems Administrator in resolving complex transactions in CUNYfirst/HCM/Banner;

  • Tracks, monitors, and advises the Deputy Director on workloads and observations, consulting as necessary to ensure contract compliance;

  • Works closely with the Central Office's CUNYfirst team and the Provost's Office in the mass reappointmentprocess generating electronic offer letters and simultaneous notifications to 600+ Graduate Assistants;

  • Ensures implementation on policies and procedures governing Graduate Assistants;

  • Interacts with the Provost's, Payroll, Financial Aid, and International Students Offices, and the NYSHIP Coordinator;

  • Resolves discrepancies in database systems for Graduate Assistants;

  • Processes all personnel actions in CUNYfirst/HCM;

  • Requests positions from the Budget Officer;

  • Prepares and provides Personnel Action Reports to the Payroll Office;

  • Creates, maintains, and updates all Graduate Assistant personnel files;

  • Prepares employment and social security letters for Graduate Assistants;

  • Reviews all Graduate Assistant employment related documents;

  • Prepares ad hoc reports as needed; and

  • Performs other duties as assigned.

All full-time and part-time CUNY staff are expected to work in-person 80% of their work time. This hybrid work schedule is subject to change.

MINIMUM QUALIFICATIONS

Bachelor's Degree required.

OTHER QUALIFICATIONS

A preferred candidate should have:

  • Prior CUNY experience.

  • Discretion safeguarding employee information.

  • Knowledge of collective bargaining agreements.

  • Strong organizational skills and be detailed oriented.

  • Experience with CUNY HRIS systems (CUNYfirst/HCM and PayServ).

  • Experience in delivering presentations.

  • Experience with the web and Microsoft Office Suite.

  • Strong communication skills.

COMPENSATION

$61,525 - $65,208/year. Salary commensurate with education and experience

Part-time employees must meet a weekly or semester work hour criteria to be eligible for health benefits. Health benefits are also extended to retirees who meet the eligibility criteria.
