Program Summary

The National Science Foundation (NSF) manages the United States Antarctic Program (USAP). The USAP supports all U.S. scientific research and related logistics in Antarctica and aboard USAP vessels that operate along the continental margin and in the Southern Ocean. Science within the Antarctic research portfolio is chosen and funded by NSF and other Federal agencies, including NASA, NOAA, and the Department of Energy. The purpose of the Antarctic Science and Engineering Support Contract (ASESC) is to enable that science.

All participants are responsible for maintaining a safe workplace and ensuring that safety is the highest priority. This includes compliance with all ASESC environmental health & safety, and quality assurance requirements.

Job Summary

The Operations Transition Assistant supports the successful transition and continuity of operational functions associated with the Antarctic Science and Engineering Support Contract (ASESC). This role assists with coordinating transition activities, tracking operational deliverables, facilitating knowledge transfer, and supporting communication across functional areas to ensure uninterrupted support of the U.S. Antarctic Program (USAP). The Operations Transition Assistant works closely with transition leadership, operational teams, and stakeholders to help ensure a smooth, compliant, and efficient contract transition.

*This is a remote position based in the US.

Roles and Responsibilities

  • Support planning, coordination, and execution of operational transition activities across ASESC functional areas

  • Assist in tracking transition milestones, deliverables, risks, and action items to support overall transition objectives

  • Coordinate with operational departments to collect, organize, and maintain transition-related information and documentation

  • Support knowledge transfer activities by assisting with the scheduling, tracking, and documentation of transition meetings, workshops, and training sessions

  • Maintain transition trackers, schedules, reports, and status updates for leadership review

  • Facilitate communication and information sharing among transition teams, stakeholders, and operational personnel

  • Assist in identifying operational dependencies, risks, and issues requiring escalation or resolution

  • Support development and maintenance of transition procedures, work instructions, and continuity plans

  • Collect and compile data to support operational readiness assessments and transition reporting requirements

  • Ensure compliance with contractual requirements, organizational policies, and transition management procedures

Basic Qualifications

  • U.S. citizenship and the ability to pass a National Agency Check with Inquiries (NACI) background investigation.

  • High school diploma or equivalent

  • 1–3 years of experience in operations support, project coordination, administrative support, logistics coordination, or a related field

  • Strong organizational and time management skills with the ability to manage multiple priorities

  • Excellent written and verbal communication skills

  • Ability to work effectively in a fast-paced, deadline-driven environment

  • Strong attention to detail and ability to maintain accurate records and trackers

  • Ability to work collaboratively with diverse teams and stakeholders

  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams

Preferred Qualifications

  • Associate’s or Bachelor’s degree in Business Administration , Project Management, Operations Management, Logistics, or a related field

  • Experience coordinating cross-functional projects, schedules, and deliverables

  • Experience supporting government contracts, program transitions, mobilizations, or operational readiness activities
