Full job description

Description We are looking for an Administrative Coordinator to support charter operations in Hyannis, Massachusetts. This contract opportunity is ideal for someone who excels at organizing schedules, assisting customers, and keeping reservation details accurate in a fast-paced setting. The role involves coordinating trip logistics, managing bookings, and ensuring smooth communication between clients, captains, and service partners. Candidates who are highly organized, service-driven, and comfortable handling administrative tasks across multiple priorities will thrive in this position.

Responsibilities:

  • Organize and maintain charter trip schedules, ensuring bookings are entered accurately and updated promptly.

  • Oversee reservation calendars and help optimize scheduling for charter availability and client needs.

  • Answer customer questions by phone or email, providing timely information and attentive support throughout the booking process.

  • Receive and process payments while maintaining accurate transaction documentation and related records.

  • Communicate trip arrangements with both clients and captains to confirm timing, requirements, and service expectations.

  • Work with vendors and external partners to support trip logistics and resolve operational needs efficiently.

  • Manage booking adjustments, including reschedules and cancellations, while keeping all parties informed.

  • Maintain organized records for reservations, payments, and administrative documentation to support daily operations.

  • Contribute to general office and administrative activities as needed to keep the business running smoothly. Requirements • At least 3 years of experience in administrative support, office coordination, scheduling, or a related function.

  • Strong attention to detail with the ability to manage records, appointments, and customer information accurately.

  • Experience handling calendar management, reservations, or multi-step scheduling responsibilities.

  • Ability to respond to inbound calls and customer inquiries in a detail-focused and service-oriented manner.

  • Comfortable processing payments and maintaining organized documentation.

  • Strong communication skills with the ability to coordinate effectively with customers, captains, vendors, and internal staff.
