About Mindful Therapy Group

Mindful Therapy Group partners with independent mental health clinicians to support thriving private practices. With a growing national footprint and a mission-driven culture, we’re making it easier to access high-quality care, while empowering providers with the tools, infrastructure, and community they need.

About the Role

The Events Manager leads the planning, budgeting, execution, and continuous improvement of Mindful Support Services’ events. This role owns established event processes while strengthening structure, accountability, and consistency across the organization.

More than event coordination, this position drives stakeholders and senior leaders through decisions, deadlines, and preparation while ensuring Mindful’s brand and culture come to life at every event. Strong communication, attention to detail, sound judgment, adaptability, and enthusiasm for travel are essential.

Key Responsibilities

Event Planning & Execution

  • Lead end-to-end planning and execution for provider events, continuing education programs, recruiting and networking events, office openings, company celebrations, leadership retreats, executive offsites, and other priority events.

  • Manage venues, vendors, contracts, catering, A/V, registration, signage, transportation, accommodations, attendee communications, materials, and on-site logistics.

  • Travel to major events and provide hands-on leadership before, during, and after execution.

  • Anticipate risks and gaps early, bringing organized recommendations and solutions to keep events on track.

Event Operations & Process Ownership

  • Own the established event portfolio and calendar while continuously improving the systems, standards, and processes that support execution.

  • Develop and maintain event SOPs, planning templates, timelines, checklists, approval paths, communication standards, and post-event workflows.

  • Review and improve event processes based on lessons learned, stakeholder feedback, and changing business needs.

  • Use approved AI and productivity tools to strengthen planning, communication, documentation, analysis, and follow-through.

Stakeholder & Executive Coordination

  • Drive accountability across departments and leadership by securing decisions, approvals, content, deliverables, and follow-up needed to keep work on schedule.

  • Prepare leaders and executives with briefs, agendas, schedules, talking points, attendee information, travel details, and supporting materials.

  • Coordinate event-related executive schedules, travel, itineraries, and logistics for retreats, offsites, and other priority activities.

  • Translate event meetings and debriefs into clear decisions, owners, deadlines, and next steps, and drive follow-through to completion.

Budget & Vendor Management

  • Develop event budgets, monitor approved spending, coordinate invoices, identify cost risks, and provide timely expense reporting and financial recaps.

  • Manage external vendor relationships and contracts while maintaining expectations for quality, timelines, and event standards.

Tracking, Reporting & Continuous Improvement

  • Maintain accurate CRM records, event trackers, stakeholder information, attendance data, event history, commitments, and follow-up activities.

  • Measure registration, attendance, engagement, spending, follow-up activity, and applicable business outcomes.

  • Prepare concise post-event reporting with lessons learned and recommendations to strengthen future events.

Requirements

Qualifications:

  • 4+ years of experience in event management, experiential events, project management, or a comparable role with end-to-end ownership.

  • Demonstrated ability to independently manage multiple complex events, deadlines, vendors, budgets, and stakeholder groups.

  • Experience partnering with senior leaders or executives on events, retreats, offsites, or organizational initiatives.

  • Experience creating and improving event processes, SOPs, templates, and repeatable workflows.

  • Strong budgeting and vendor-management experience, including contracts, expense tracking, and cost reconciliation.

  • Excellent written communication skills with the ability to prepare clear, leadership-ready materials.

  • Proficiency with Microsoft 365 and comfort learning CRM, event, project-management, travel, and AI-enabled productivity tools.

  • Ability to travel up to 50%, including occasional evening and weekend events.

Core Competencies:

  • Exceptional attention to detail: Anticipates gaps, dependencies, and risks before they impact execution.

  • Ownership & accountability: Takes initiative, closes loops, and drives work through completion.

  • Organization & prioritization: Manages competing events, stakeholders, budgets, and deadlines without losing critical details.

  • Communication & influence: Establishes clear expectations and confidently drives follow-through across teams and leadership.

  • Adaptability & problem solving: Responds well to feedback, adjusts quickly, and brings solutions when challenges arise.

  • Judgment & confidentiality: Handles sensitive business and leadership information with appropriate discretion.

  • Technology fluency: Uses technology and approved AI tools to improve organization, communication, analysis, and efficiency.

Bonus Points

  • Experience in behavioral health, healthcare, or provider-facing roles

  • Familiarity with platforms like Eventbrite, Monday.com, HubSpot, or travel booking tools
