The University of Louisiana at Lafayette is a public research university committed to academic excellence, innovation, and service. As part of its operational support team, the University employs skilled professionals who provide essential administrative support to ensure efficient operations for students, faculty, staff, and visitors. We’re looking for an Administrative Coordinator 3 to join our University of Louisiana at Lafayette team. The Administrative Coordinator 3 performs a wide variety of clerical and administrative duties requiring independent judgment in support of staff members and/or the operations of an organizational unit or program.

AN IDEAL CANDIDATE SHOULD POSSESS THE FOLLOWING COMPETENCIES:

  • Managing Resources: The ability to manage financial, physical, and contractual resources to ensure compliance and maximize business value.

Two years of experience in administrative services.

EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The official job specifications for this role, as defined by the State Civil Service, can be found here.Job Duties: As an Administrative Coordinator 3, you will:

  • Perform administrative and clerical duties in accordance with established rules, regulations, policies, and procedures.

  • Process routine paperwork and enter information into departmental logs, databases, or other systems.

  • Communicate with other departments, customers, and individuals regarding departmental or program-related matters.

  • Assist with document imaging processes, including maintaining records and logs of imaged files.

  • Prepare requisitions for the purchase of supplies and enter purchasing information into applicable systems.

  • Compile information from various sources and prepare specialized reports in accordance with departmental standards.

  • Provide clerical and administrative assistance to management.

  • Maintain appointment schedules and assist with coordinating meetings and other activities.

  • Prepare travel-related documents and arrangements as required.

  • Assist management with routine administrative matters and communications.

  • Assist with administrative functions such as property control, purchasing, and safety as assigned.

  • Maintain accurate departmental records, files, and documentation.

  • Perform related duties as assigned.
