Full job description
Join us in shaping Seattle’s streets! At the Seattle Department of Transportation (SDOT), we don’t just move people—we connect communities, build safer streets, and create a more sustainable city. With a bold vision for the future, we’re tackling big challenges: making travel safer, cutting carbon emissions, and ensuring reliable, affordable transportation for everyone—no matter who they are or where they live. Seattle is growing fast, and we’re growing with it. Thanks to a historic voter-approved $1.55 billion investment in transportation in 2024, we’re building sidewalks, fixing bridges, and improving transit connections to keep our city moving. We’re a team of problem solvers, planners, engineers, communicators, and field crews—bringing purpose-driven work to life. Now, we need passionate, innovative talent like you. Let’s build a Seattle that works for everyone—together! SDOT is looking for two collaborative, resourceful, and detail-driven Senior Grant Funds Coordinators (Senior Project Funds & Agreements Coordinators) to join our Finance & Administration Division. In these key roles, you’ll take the lead on complex Federal and State grants administration that keeps our transportation system moving and our major projects funded. We’re seeking people who enjoy navigating intricate funding requirements, strengthening internal processes, and working across a diverse organization. If you thrive in a role where accuracy, communication, and continuous improvement matter—and you want your work to help shape Seattle’s future—this could be a great fit.
- Prepare scheduled grant reports (quarterly, semi-annual, or annual) for state and federal agencies, including WSDOT, PSRC, FMSIB, FTA, FHWA, FRA, and USDOT.
- Serve as SDOT’s primary point of contact for grantors, managing technical communications such as expenditure updates, billing status, and any changes to project scope, schedule, name, or costs.
- Lead SDOT’s quarterly grant check-ins with WSDOT, providing clear, comprehensive updates on all WSDOT- and FHWA-funded projects.
- Respond quickly to requests from state and federal partners for information on project progress, spending, and grant obligation timelines.
- Prepare materials for grant acceptance and related budget appropriations during annual and supplemental budget cycles.
- Work with the City Budget Office and Citywide Accounting to establish grant funding sources and resolve any budget coding issues that arise.
- Draft standalone legislation—such as ordinances and fiscal notes—for time-sensitive grant acceptance or appropriation needs submitted to the Seattle City Council.
- Monitor grant budgets monthly, compare actual spending to planned budgets, and clearly explain any variances during internal monthly check-ins and quarterly financial reviews.
- Develop complete grant obligation packages to support the execution of agreements with granting agencies.
- Support department goals related to diversity, equity, and social justice in alignment with the City’s Race and Social Justice Initiative.
Minimum Qualifications: Education:
- Bachelor's Degree in business or public administration, finance, economics, or related field.
Experience:
- Three (3) years of professional experience in financial analysis, project management, grant administration, inter-agency agreements, or contract administration.
OR: An equivalent combination of education and experience that demonstrates the ability to perform the position duties.
Though not requirements, strong candidates will have some of the following experience or are able to describe comparable experience:
- Strong communication and coordination skills. Demonstrated ability to analyze, present, and communicate information clearly at all levels.
- Strong critical thinking skills, with attention to detail and the ability to actively manage multiple processes.
- Strong customer service skills.
- Proficiency in the Microsoft Office suite with emphasis on Excel, Word, and PowerPoint.
- Ability to work within SDOT’s Workplace Expectations, including our values of Safety, Respect, Diversity, Trust, Productivity, Integrity, Innovation, Partnership and Accountability.
- Ability to effectively work in a multi-cultural workplace with a diverse customer base.
Other Requirements: Work Environment:
- Work is typically performed in a hybrid work environment in which a minimum of 3 days of work is completed in a City office, and 2 days of work is completed remotely in a regular 40-hour work week.
