Description
We are looking for a highly organized Part-Time Administrative Board Liaison to support executive and board-related operations for a mission-driven non-profit organization in Houston, Texas. This Long-term Contract position will provide confidential administrative support to senior leadership while helping maintain strong coordination across donor, trustee, and board activities. The ideal candidate brings sound judgment, strong communication skills, and the ability to manage details in a fast-paced environment with professionalism and discretion.
Responsibilities:

Oversee calendar scheduling, appointments, and meeting coordination for leadership, ensuring all logistics are organized and communicated clearly.

Create and assemble agendas, briefing documents, correspondence, and follow-up materials to support internal and external meetings.

Arrange travel plans and detailed itineraries while keeping schedules aligned with leadership priorities.

Maintain accurate electronic and hard-copy records, including filing, data entry, document tracking, and general administrative documentation.

Prepare, edit, and format letters, reports, presentations, and other business communications with a high level of accuracy.

Support board and donor engagement activities by coordinating outreach, facilitating follow-up, and helping ensure timely communication with trustees and stakeholders.

Assist with board meeting administration, including packet preparation, minute-taking, deadline monitoring, and logistical coordination.

Help organize foundation events and donor-facing gatherings by managing invitations, RSVPs, venue details, catering, and related project tasks.

Handle incoming calls, mail, office supply coordination, and other daily office support functions that contribute to smooth operations.
Requirements
-
Demonstrated experience in administrative support, office coordination, or executive assistance within a detail-focused environment.

Background in donor processing, accounting support, or related recordkeeping responsibilities.

Strong written and verbal communication skills with the ability to interact effectively with leadership, donors, and board members.

Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

Ability to manage confidential information with tact, sound judgment, and a high degree of discretion.

Excellent organizational skills with the ability to prioritize multiple tasks and meet deadlines consistently.

Comfortable working independently while also collaborating effectively with cross-functional teams.

Experience handling inbound calls, front-desk support, and routine data entry tasks.
