The Assistant Director of Gift and Donor Records is a Research Foundation Assistant Director position, reporting to the Senior Director of Gift and Donor Records.

Under general direction of the Senior Director of Gift and Donor Records, the Assistant Director of Gift and Donor Records will serve as the primary coordinator of all day-to-day gift processing activities in the Foundation's Gift and Donor Records Office, managing and prioritizing the daily workflow and ensuring the accurate processing, stewardship and reconciliation of all gifts and pledges in a timely manner, while always paying strict attention to donor intent and current policies and procedures.

This position is expected to understand and interpret complex tax regulations as well as diverse accounting and gift recording requirements and procedures. This position not only interprets and administers policies and procedures, but must also be able to document procedures and develop new and better procedures when required. This position is responsible for a variety of functions that are highly complex in nature and involve significant confidential material.

This position requires critical and analytical thinking, sound judgment and independent decision-making, excellent communication and organizational skills, and a very high level of technical/computer proficiency with the ability to trouble-shoot. A high degree of accuracy, professionalism and innovation, as well as excellent customer service skills, are required.

In the course of their duties, the Assistant Director of Gift and Donor Records will regularly interact with a variety of on- and off-campus constituencies, including donors, development officers, the Binghamton Fund, Donor Relations, Accounting Services, campus departments and assistant deans, Foundation and Advancement senior staff, the Alumni Engagement Office, vendors, matching gift companies, the Athletics Business Office, the campus HR offices and IT staff.

The Assistant Director of Gift and Donor Records will assist the Senior and Associate Directors of Gift and Donor Records with research, analysis, and other special projects as assigned.

Specific Job Duties:

  • Manage process and workflow for recording, reconciliation and receipting of gift, pledge, payment and bequest transactions. Ensure daily separation of duties as required for Internal Control procedures.

  • Communicate with Development/Advancement, Foundation, Alumni and University Departments regarding allocation and handling of gifts, gift-in-kind value and documentation, matching gifts, estate gifts, stock gifts, and employee payroll gifts.

  • Create new donor records in the donor database and ensure accuracy of biographical data updates completed by Gift and Donor Records staff.

  • Generate and distribute daily, monthly, annual and ad hoc gift/pledge/donor reports from donor database.

  • Assist with Blackbaud CRM database conversion as assigned.

  • Serve as primary liaison with Telefund Manager and vendor staff for Telefund credit card and pledge report reconciliation purposes. Monitor and track issues associated with our Telefund vendor's reporting process, and then make recommendations to appropriate staff as needed.

  • Serve as primary liaison for online and recurring gifts and monitor procedures for their management.

  • Serve as manager of the matching gifts process, including reviewing and signing matching gift forms and reviewing and approving online match requests while adhering to individual company match policies. Communicate with matching gift company personnel as needed to determine match eligibility and procedure. Produce, review and mail monthly match reminder letters sent to donors. Continue to focus on the growth of the matching gifts program, with the goal of increasing amount of matching gift dollars received.

  • Attend weekly Telefund meetings, as well as other ad hoc meetings as assigned by the Senior Director of Gift and Donor Records.

  • Regularly monitor and manage numerous online accounts that have been established for giving, including the Foundation's online giving accounts (iModules, PayFlowPro, PayPal, and Stripe) and account for Telefund credit card gifts (CyberSource), the Foundation's brokerage account for securities gifts.

  • Prepare special donor correspondence as needed.

  • Assist the Senior Director of Gift and Donor Records with special manually-produced tax receipts as assigned.

  • Respond to donor inquiries (e-mail, phone, etc.) regarding tax receipting, matching gifts, and other issues.

  • Serve as primary liaison with Athletics Business Office and/or Athletics Development Office for all Athletics donation deposits.

  • Attend staff development conferences in order to stay informed of current best practices in development and advancement services (note: budget permitting). Set-up and attend online training webinars sponsored by the Gift and Donor Records Office and attend other development-related webinars as required. Utilize resources such as CASE, the Double the Donation Matching Gifts database, the Fundsvcs listserv/archives and the Foundation Center while researching gift processing issues.

  • Maintain appropriate office files pertaining to specified areas of responsibility.

  • Perform other duties as assigned by the Senior Director of Gift and Donor Records.

Job Requirements:

Qualifications/Education/Experience:

  • A Bachelor's Degree is required.

  • This position requires knowledge of accounting principles and financial reporting and the ability to understand CASE Reporting Standards, IRS Regulations, and other governing policies and procedures relating to the processing of charitable gifts.

  • Effective verbal and written communication skills are essential.

  • The ability to oversee support staff and direct workflow is required.

  • A fundamental understanding of fundraising is necessary to perform the duties of the position.

  • Specific experience with a fundraising database such as Millennium or Blackbaud CRM is preferred.

  • In addition, must be adept with a PC and skilled in the use of Microsoft Office software including Excel, Word, Outlook and Access.

  • Must be able to work independently and maintain a high degree of accuracy and professionalism.

  • Understanding of the use of computer databases and the importance of procedures for data integrity is necessary.

Additional Information:

Salary: $70,000 - $75,000 annually.
