Farmingdale State College seeks a highly organized and detail-oriented Legal and Contracts Coordinator to support the Office of Legal Affairs. This position is responsible for the review, preparation, administration, and tracking of non-procurement-related agreements for the College. The successful candidate will work collaboratively with academic and administrative departments to facilitate the timely execution of agreements while ensuring compliance with SUNY, New York State, and College policies and procedures.

In addition to managing agreements, the Legal and Contracts Coordinator will support legal operations through records management, legal research, litigation support, and implementation of technology solutions designed to improve departmental efficiency. This position serves as a key liaison between the Office of Legal Affairs and campus stakeholders and reports directly to the Legal Liaison.

Job Responsibilities:

  • Assist the AVP for Administration with the review, preparation, routing, execution, and tracking of all non-procurement-related agreements entered into by the College, ensuring compliance with applicable SUNY, OSC, and College requirements.

  • Manage affiliation, internship, clinical placement, and other educational agreements in collaboration with academic departments.

  • Develop and maintain processes, procedures, and documentation related to contract administration and agreement management.

  • Serve as the administrator for the College's contract management system and lead initiatives to improve efficiency through technology and process automation.

  • Support the Legal Liaison with litigation-related matters, including document collection, records retention, and litigation hold coordination.

  • Serve as the College's Records Access Officer and coordinate responses to records requests and Freedom of Information Law (FOIL) requests.

  • Support the continuous improvement of legal processes through innovative use of technology.

  • Conduct research on various legal topics as requested.

  • Perform other duties as assigned.

Job Requirements:

MINIMUM QUALIFICATIONS:

  • Associate's degree.

  • Minimum of 3 years of experience supporting legal, compliance, contracts, risk management, or related administrative functions.

  • Strong project management, organizational, and customer service skills.

  • Strong technology skills, including experience utilizing software solutions to improve operational efficiency and workflow management.

  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook.

  • Excellent verbal, written, and interpersonal communication skills.

  • Demonstrated ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.

PREFERRED QUALIFICATIONS:

  • Bachelor's degree.

  • Paralegal certification.

  • Experience working in complex regulatory environments.

  • Experience responding to records requests, Freedom of Information Law (FOIL) requests, or similar public records processes.

  • Experience drafting, reviewing, editing, negotiating, and coordinating contracts, agreements, and other legal or administrative documents.

  • Experience in higher education.

  • Experience with contract management systems.
