Description

We are looking for an experienced Workplace Experience Coordinator - Level 1 to support daily front desk and office services operations in Brooklyn, NY. This temporary contract position is ideal for someone who enjoys creating a welcoming environment for employees and visitors while keeping workplace services organized and responsive. The role focuses on guest support, coordination of on-site services, and smooth execution of everyday office activities during a short-term assignment.

Responsibilities:

  • Welcome employees, guests, and visitors with a detail-oriented approach while managing check-in procedures, badges, and parking access in line with site security expectations.

  • Coordinate front desk and workplace support activities, including mail handling, supply requests, and onboarding setup to help daily operations run efficiently.

  • Respond to questions, service concerns, and routine requests from building occupants and visitors, providing timely assistance and practical solutions.

  • Schedule and support meetings, dining arrangements, and business-related activities requested by internal stakeholders.

  • Organize on-site events by preparing rooms, arranging materials, overseeing setup and breakdown, and ensuring spaces are ready for use.

  • Submit and monitor janitorial and maintenance service requests, working with the appropriate teams to resolve facility-related needs.

  • Follow building safety, security, and emergency guidelines, escalating issues promptly to protect everyone on site.

  • Liaise with external vendors delivering workplace goods or services to confirm support is completed accurately and on schedule.

Requirements • High school diploma or equivalent.

  • Up to 2 years of experience in front desk support, office coordination, customer service, or a related administrative environment.

  • Ability to follow established procedures and complete routine tasks with consistency and attention to detail.

  • Clear verbal and written communication skills for sharing information with employees, guests, and service providers.

  • Working knowledge of Microsoft Office applications, including Word, Excel, and Outlook.

  • Strong organizational skills with the ability to manage multiple requests in a fast-paced workplace.
