Job Description

The School of Law Student Affairs Office has an outstanding opportunity for a Program Operations Specialist to join their team.

About this Opportunity

Reporting to the Associate Dean for Students, the Student Affairs Program Operations Specialist is responsible for for providing operational, administrative, and programmatic support for Student Affairs by coordinating programs, student engagement initiatives, student organizations, communications, and departmental operations to enhance the law student experience and support Student Affairs leadership.

This position is based in William H. Gates Hall and is expected to work primarily on-site. Telework arrangements, if applicable, are determined by the needs of the office and approved by the employee's supervisor in accordance with University and School of Law guidelines.

KEY RESPONSIBILITIES

  • Student Affairs Operations & Program Management (35%): Lead and coordinate Student Affairs programs, events, projects, and operational initiatives by managing planning, implementation, assessment, timelines, resources, stakeholder engagement, and project outcomes.

  • Student Organization Administration & Leadership Support (20%): Coordinate and support student organizations and student leaders by administering organizational operations, compliance requirements, training, resources, events, and related administrative processes.

  • Student Engagement, Communications & Outreach (20%): Develop and manage Student Affairs communications, engagement initiatives, and digital resources that support student involvement, leadership development, and community building.

  • Executive Operations & Leadership Support (15%): Provide operational, administrative, project management, and strategic support to Student Affairs leadership by coordinating initiatives, managing communications and reporting, supporting stakeholder engagement, and advancing departmental priorities and objectives.

  • Administrative Operations (10%): Support Student Affairs administrative operations through financial coordination, records management, reporting, process improvement, student employee supervision, customer service, merchandise store oversight, and other related duties.

REQUIRED QUALIFICATIONS

  • To be considered for this opportunity your application must demonstrate you meet both the minimum qualifications and additional qualifications listed below. Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

MINIMUM REQUIREMENTS

  • Bachelor’s degree.

  • One year of experience providing administrative, program coordination, event coordination, customer service, or operational support in higher education or a similarly complex organization.

  • Applicants who do not meet these qualifications WILL NOT be forwarded to the Hiring Manager.

ADDITIONAL REQUIREMENTS

  • Demonstrated organizational skills with the ability to manage multiple assignments and competing deadlines.

  • Strong written, verbal, and interpersonal communication skills.

  • Ability to provide courteous, responsive, and professional customer service to a diverse community.

  • Ability to exercise sound judgment and maintain confidentiality when handling sensitive information.

  • Ability to work effectively both on a team and independently.

  • Demonstrated attention to detail.

  • Ability to follow established policies, procedures, and administrative processes.

  • Strong goal and results orientation, strategic thinking, problem-solving abilities, sound judgment, and discretion with sensitive information.

  • Proficiency with Microsoft Office applications and the ability to learn new software systems.

PREFERRED QUALIFICATIONS

  • Experience working in a higher education environment.

  • Familiarity with student organizations or student programming.

  • Familiarity with State of Washington purchasing policies and procedures.

  • Familiarity with State of Washington travel policies and procedures.

WORKING CONDITIONS

  • Work is performed primarily in a professional office environment and requires extensive use of a computer and standard office equipment.

  • This position requires regular interaction with students, faculty, staff, alumni, visitors, and external partners, with an emphasis on providing professional and responsive customer service.

  • The position requires the ability to manage multiple priorities, adapt to changing deadlines, and maintain confidentiality while working in a fast-paced environment.

  • Work may require occasional lifting and transporting of materials, supplies, and equipment weighing up to 25 pounds for meetings, events, and programs.

  • This position requires occasional evening and weekend work to support student programs, orientation, commencement, admissions activities, and other special events.

  • The position may require walking between buildings on campus and standing for extended periods while supporting events and programs.

  • Work is performed both independently and collaboratively with other staff and campus partners to support the successful delivery of programs and services.
