Description

We are looking for a Benefits Administrator to support employee benefits, leave administration, and workers’ compensation activities for a growing healthcare-focused organization in Richmond, Virginia. This contract to hire position works closely with Human Resources, payroll, finance, and operational leaders to maintain accurate program administration, strengthen compliance practices, and provide employees with clear guidance on benefit-related matters. The ideal candidate brings hands-on experience managing benefit plans, coordinating leave cases, and assisting team members through time away from work and return-to-work processes with professionalism and care.

Responsibilities:

  • Oversee daily administration of employee benefit programs, ensuring enrollments, changes, terminations, and related records are processed accurately and on time.

  • Coordinate leave of absence cases from intake through resolution, communicating with employees and leaders about eligibility, documentation, timelines, and return-to-work steps.

  • Manage workers’ compensation activities by tracking claims, partnering with carriers and internal stakeholders, and supporting timely case follow-up.

  • Lead key aspects of open enrollment, including preparation, employee communication, system updates, and issue resolution during the enrollment period.

  • Collaborate with Human Resources, payroll, finance, and department leadership to reconcile benefit data, address discrepancies, and support accurate deductions and reporting.

  • Help reduce compliance exposure by maintaining organized records, monitoring required documentation, and supporting adherence to applicable benefits and leave regulations.

  • Serve as a point of contact for employees seeking assistance with benefit options, coverage questions, leave processes, and related administrative concerns.

  • Work with external vendors, brokers, and insurance carriers to resolve service issues, clarify plan details, and improve the employee experience.

Requirements

  • At least 2-3 years of experience administering employee benefits, with strong preference for exposure to leave management and workers’ compensation.

  • Practical knowledge of group health and welfare plans, benefit coordination, COBRA administration, and leave of absence processes.

  • Working knowledge of ERISA, ACA, COBRA, HIPAA, FMLA, ADA, and OSHA recordkeeping requirements.

  • Understanding of recordkeeping and compliance responsibilities related to benefits, employee leave, privacy, and associated reporting requirements.

  • Experience using HRIS, benefits administration tools, and payroll systems to manage data accurately and efficiently.

  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.

  • Strong analytical and reconciliation skills, with the ability to identify discrepancies and maintain reliable records.

  • Clear communication skills and the ability to explain benefit programs and leave procedures to employees in a supportive, thorough manner.
