Full job description

In support of the Air Force Nuclear Weapons Center (AFNWC) Headquarters Management and Administrative Support Services (H-MASS) contract, Systems Intelligence is pleased to deliver management expertise to AFNWC headquarters directorates and provide comprehensive administrative support to AFNWC Senior Leaders. This Project Coordination Specialist role is located at Kirtland Air Force Base (KAFB) and supports the Contracting Directorate.

Responsibilities

  • Manage all physical and digital correspondence with strict adherence to information security and routing protocols. Duties include receiving, drafting, scanning, printing, and distributing general office communications.

  • Serve as a Defense Travel System (DTS) Preparer, proactively assisting directorate personnel with official travel scheduling and the timely creation of travel authorizations and vouchers, and facility access for all visitors.

  • Complete special projects (e.g., creating a comprehensive organizational guide for managing complex inter-directorate taskers, including flowcharts and best practices).

  • Participate in installation and Center exercises as required (e.g., responding to recall rosters), maintaining continuity of operations (COOP) communication lines, and routing exercise-related taskers.

  • Serve as the primary point of contact for all directorate awards programs, maintaining a consolidated awards schedule, tracking critical suspense dates, routing packages across operating locations, and performing rigorous quality control on all submissions.

  • Manage all internal and external organizational work assignments and tasks received through official directorate workflows (e.g., Task Management Tool, SharePoint) to ensure mission accountability, strict adherence to suspense dates, and 90% visibility of directorate work items.

  • Manage comprehensive scheduling and event coordination for the directorate (i.e., drafting invitations, consolidating and distributing read-aheads, establishing virtual communication lines (primarily Microsoft Teams or telephone), and verifying physical audio-visual (AV) readiness).

  • Provide comprehensive oversight and lifecycle management of the directorate’s official records, rosters, and information platforms, executed in strict compliance with Air Force information security and records management regulations.

  • Serve as the primary SharePoint site administrator, managing user access permissions, organizing document libraries, updating web parts, ensuring overall data discoverability, and executing routine site modifications.

  • Execute the monthly validation and update of the Directorate recall roster.

Qualifications

  • An active DoD SECRET security clearance is required for consideration.

  • A Bachelor’s degree from an accredited institution in a Business Administration, Project Management, or closely related field. 2-4 years of relevant experience is highly preferred.

  • Demonstrated experience prioritizing, managing, and tracking multiple, simultaneous tasks across different organizations, while maintaining meticulous and detailed records.

  • Demonstrated experience collecting, analyzing, assembling, and organizing information in response to executive level tasks.

  • Proven experience communicating effectively with senior executives and a professional workforce, demonstrating excellent written and oral communication skills.

  • Hands-on experience using key DoW and Air Force systems, including DTS for travel processing, TMT for official taskers, and AFRIMS for records management.

  • Advanced proficiency in Microsoft Office Products, including experience with SharePoint site administration and content management, standard Office Applications (Word, Excel, PowerPoint), and Microsoft Teams.

  • A thorough understanding of and ability to apply official communication standards as outlined in the Air Force Tongue and Quill.

  • The ability to operate with professionalism and confidence when interacting with personnel at all levels, from staff to senior leadership.

  • Familiarity with handling classified information and operating on secure networks (e.g., SIPRNet).

  • Familiarity with DoW or Air Force acquisition and contracting terminology and environments is highly preferred.
