Position Description:

Performs administrative and coordinative work in the Office of a Vice President or above to ensure the smooth operation and functioning of the office. Responsibilities involve the application of constructive measures and appropriate solutions to complex procedural and administrative matters. Duties may also include the coordination of office procedures and policies and high level secretarial support. May supervise office/clerical staff and possibly administrative support staff.

About the Department and/or College:

Texas Tech K-12, a unit of the Texas Tech University Online division, is a state-approved online kindergarten through 12th-grade school that has been meeting students' needs for more than 25 years. Affiliated with Texas Tech University, a Carnegie tier-one research institution, Texas Tech K-12 boasts a rigorous curriculum that allows students to work ahead, make up failed credits, and achieve their goals from wherever they are. Texas Tech K-12 is a Candidate for Accreditation with NCA CASI, NWAC, and SACS CASI. Texas Tech K-12 began in 1993 as a "Special Purpose District" designed to help students whose educational needs were not adequately met by traditional school districts. Since then, we have grown to serve students across the country and more than 70 nations around the world.

Major/Essential Functions:

  • Provide high-level administrative support to the Superintendent, including managing calendars, scheduling meetings, and preparing materials.

  • Draft, edit, and proofread correspondence, reports, presentations, and other documents.

  • Screen and route incoming calls, visitors, and correspondence, ensuring professional and timely responses. Serve as the primary point of contact between the Superintendent’s office, staff, Advisory Baord, parents, and community members.

  • Coordinate Advisory Board meetings, including preparing agendas, notices, minutes, and supporting documentation.

  • Organize and manage special projects or assignments as delegated by the Superintendent.

  • Track deadlines, ensure follow-up, and maintain project documentation. Prepare and distribute reports, data, and information for decision-making and compliance purposes.

  • Handle sensitive information with the highest degree of professionalism and discretion. Assist with preparation of official reports, contracts, and compliance documentation.

  • Arrange travel, lodging, and reimbursements for the Superintendent.

  • Support other central office administrators as needed. Perform other related duties as assigned to support the smooth operation of the Superintendent’s office.

Knowledge, Skills, and Abilities:

Strong leadership skills with the ability to inspire, guide, and collaborate across departments and with external partners. Skilled in organizing large-scale in-person and virtual events aimed at engagement, recruitment, and relationship-building. Capable of navigating complex challenges with creativity and flexibility in a fast-paced, evolving educational environment. Experience in working in K-12 Schools.

Required Qualifications:

Bachelor's degree plus 4 years skilled administrative experience; OR a combination of education and/or related experience to equal 8 years.

Preferred Qualifications:

  • Master's preferred.

  • Seven years progressively responsible management experience required.
