Full job description
About Us: Fireworks is the platform for specialized intelligence, enabling companies to build, train, and serve AI models tailored to their own data, workflows, and products. Founded by the team behind PyTorch and backed by AMD, Atreides, Benchmark Capital, Index Ventures, Lightspeed, NVIDIA, Sequoia Capital, and TCV, Fireworks powers production AI with hundreds of state-of-the-art open models across text, image, embedding, audio, and multimodal workloads. Today, Fireworks is a Series D company valued at $17.5 billion, bringing together an ambitious, collaborative team that's building the future of enterprise AI. As Office Manager, you run our New York office and make it a place people want to come to. The office is open, but the operational foundation is still to be built: few local vendors, no established rhythm, and a team growing fast. You run the office day to day as it grows from a handful of people to a full regional site, and you help put the foundation underneath it.
Day to day, you are the person who makes the office work: the space, the vendors, the onboarding, the events, the visitors, and the hundred small things that decide whether a team is set up to do its best work. You also set the atmosphere. A lot of what makes an office somewhere people choose to be comes down to who runs it.
This is an in-office role in New York, and you will be at the office five days of the week. It suits a hands-on operator who likes being first in: equally comfortable pushing a vendor contract over the line and sorting the catering order, and proud of a team that never has to think about logistics.
We care more about how good you are than how many years you have done this. If you are early in your career but have a clear record of excelling at whatever you took on, we want to hear from you.
Key Responsibilities
-
Office: Run our New York office end to end: the relationship with the landlord or workspace provider, access and security, health and safety, the cleaning and facilities vendors, supplies, and the day-to-day running of the space.
-
Atmosphere and Team Rhythm: Own the office cadence, from lunches and all-hands setup to team dinners and offsites. For customer and community events, partner with our Field Marketing team, who own the programmes, ensuring everything hosted at the office runs smoothly.
-
Onboarding: Make every new joiner productive on day one: equipment, access, desk, local paperwork, and a proper welcome. Handle offboarding just as cleanly.
-
Visitors: Host visiting executives, customers, and candidates, and make sure their time at the office runs smoothly.
-
Vendors and Budget: Select and manage local vendors (landlord or workspace provider, IT and device provisioning, AV, catering, cleaning, security, insurance) and own the office budget, invoices, and renewals.
Minimum Qualifications
A demonstrable record of excellence in whatever you have done so far (office management, operations, a startup, a fast-paced team, or elsewhere), where you were clearly one of the best at it. Years of experience matter less than this.
-
Fast learner with real curiosity: comfortable learning new skills that may be needed in the office with no clear owner, and knowing when to bring in expert help.
-
Hands-on with vendors and negotiation, or the confidence and judgment to become so quickly.
-
Highly organised, with a track record of running many parallel workstreams to completion without being chased.
-
Comfortable operating with autonomy in an ambiguous, fast-changing environment; you build the process rather than wait for it.
-
Excellent written and verbal communication and a service mindset toward the team.
-
Warm, calm under pressure, and the kind of person people go to first. This role sets the tone of the office.
Why Fireworks?
-
Solve Hard Problems: Tackle challenges at the forefront of AI infrastructure, from low-latency inference to scalable model serving.
-
Build What’s Next: Work with bleeding-edge technology that impacts how businesses and developers harness AI globally.
-
Ownership & Impact: Join a fast-growing, passionate team where your work directly shapes the future of AI—no bureaucracy, just results.
-
Learn from the Best: Collaborate with world-class engineers and AI researchers who thrive on curiosity and innovation.
Fireworks AI is an equal-opportunity employer. We celebrate diversity and are committed to creating an inclusive environment for all innovators.
