Administration Assistant Specialist
Position Summary/Essential Functions:
The Administrative Assistant Specialist provides proactive, high-level administrative and operational support to the Global Operations Director and the site leadership team. This role ensures efficient daily site administration, coordinates executive calendars and travel, supports employee communication and engagement, and helps create a positive, high-performing workplace culture. The Administrative Assistant Specialist also plans and executes site-wide events, recognition activities, and employee-engagement initiatives that reinforce Parker’s High Performance Team culture and advance site goals.
Responsibilities:

Open mail and review for appropriate action attaching relevant files and/or backup information before distributing. Respond to routine correspondence or draft routine responses for review and signature. Responsible for processing of out-going mail.

Interface with all guests of the facility and ensure proper sign-in procedures are adhered to. Maintain personal protective equipment for guests and wireless internet access.

Interface effectively with functional departments, teams and customers. Screen calls, respond to routine questions and receive and/or escort guests.

Schedule appointments, make routine travel arrangements, and complete expense reports for the business unit manager and leadership team as required.

Schedule meetings that may require coordination of travel, purchasing meeting necessities, meeting room setups and ordering/picking up meals.

Head up various committees such as Parker Patriots Committee (plan celebrations including the ACIP party, Holiday party, monthly birthday celebrations, etc).

Schedule, coordinate, and work the biometric screening and flu shot event each year.

Prepare PowerPoint presentations for all visits and plant meetings for accuracy and proper formatting

Maintain site calendar of leadership team including when traveling, taking vacation, or will be out of the office.

Provide administrative support for all employees.
-
Update welcome board with daily guests and information monitors throughout the plant with events and important information.

Order and send flowers/arrangements for those out on leave and bereavement.

Coordinate and oversee the car-pooling program to meet the local county standards

Schedule skip level meetings with employees and Business Unit Manager/Leadership Team.

Work with Corporate travel to manage the preferred Parker hotel program in the Glendale area.

Take notes for all SLT related meetings for the facility.

Gather any reports of data required at a monthly basis including HPT reports.

Other duties as assigned.
Qualifications:
-
HS diploma or equivalent.
-
Associates or Bachelor’s Degree preferred
-
3 years of relevant/similar work experience
-
Experience utilizing various computer applications/systems to include Microsoft Office
-
Must demonstrate effective English verbal, written and interpersonal communication skills.

Ability to work effectively with others and be a participative team player.
