Authorization & Referral Specialist

Pay Rate: $21.00 – $23.00 / hour

FLSA Status: Non-Exempt

Department: Authorization & Referral

Reports To: Clinical Operations

About the Role

We are seeking a compassionate, detail-oriented Authorization & Referral Specialist to join our team. In this high-impact role, you will be the welcoming voice for our patients, assisting them with scheduling, insurance authorizations, financial assistance programs, and navigating their healthcare options.

Key Responsibilities

  • Patient Engagement & Scheduling: Deliver friendly, professional customer service over the phone; answer calls within three rings and efficiently assist or route callers. Call patients to schedule advanced or same-day appointments accurately.

  • Insurance & Financial Verification: Verify eligibility, secure necessary treatment authorizations, and maintain a 98% accuracy rate on demographic and insurance data entry.

  • Financial Assistance Guidance: Interview patients for reduced fee eligibility using current poverty guidelines, Medicaid, and specialized funding programs (e.g., PEPW). Assist patients with Medicaid applications and required financial documentation.

  • Payment Transparency: Explain payment requirements, deductibles, co-pays, and out-of-pocket expenses to patients, facilitating smooth collections and coordinating with Billing and Financial Counselors as needed.

  • Patient Navigation: Inform and guide patients toward appropriate resources and services while keeping electronic medical record (EMR) systems updated.

  • System Operations: Utilize electronic medical patient information systems and phone systems efficiently while maintaining confidentiality and safety standards.

Qualifications & Requirements

Required:

  • High School Diploma or GED equivalent.

  • Strong oral and written communication skills with exceptional attention to detail.

  • Excellent organizational and time management abilities.

  • Ability to multitask, problem-solve quickly, and maintain a calm, professional demeanor under pressure.

Preferred:

  • At least 5 months of customer service experience in a high-volume healthcare setting.

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and web-based tool systems.

  • Experience with Medicaid applications, financial eligibility screening, or medical billing/authorizations.

Physical Demands & Working Conditions

  • Frequently required to sit, speak, hear, and use keyboard/computer software systems for extended periods.

  • Position involves walking, standing, reaching, and occasionally lifting or moving up to 25 lbs.

  • Must be able to manage time effectively in a busy, dynamic environment.

Pay Details: $21.00 to $23.00 per hour
