Full job description

Shift: Monday - Friday 8:30am-5pm

What you will do

As the Coordinator, National Loaners, you will be instrumental in making sure the field has the loaner kits they need, when they need them. You will allocate kits to surgical cases, keep inventory records accurate, and follow up with branches to get late kits back into circulation. You will play a direct role in ensuring the National Loaners team provides excellent customer service and meets key operational metrics. This role is the quarterback of the National Loaners team: case allocations, hotlist coordination, reroutes, and late kit recovery all run through you, and the team's results depend on your performance. When the Team Lead is out, you'll serve as the team's go-to, running huddles and keeping everyone aligned to the day's priorities.

  • Allocate national loaner kits to surgical cases in WebOps based on case date, kit availability, and transit time

  • Monitor open requests and case activity daily to resolve delays and shortages before they impact a case

  • Manage the daily hotlist of kits needing same-day turnaround, coordinating with the Inbound and Outbound teams

  • Maintain accurate kit, part, and location records in WebOps and SAP, including SAP transactions for kit moves, replenishment, and material changes

  • Identify late loaners, send notifications to branches and service partners, and escalate unresolved kits per the team’s follow-up process

  • Build relationships with branch operations, case coordinators, and sales reps as the primary point of contact for loaner requests, extensions, and reroutes

  • Reinforce proper WebOps process adherence across the branch network and track repeat issues by branch

  • Record daily performance metrics and support SAP-to-WebOps inventory reconciliations

  • Track denial trends to identify kit shortages and support loaner pool sizing decisions

  • Support new product launches, kit upgrades, and kits transitioning into National Loaners management, including allocation, rework, and system setup

  • Support Inbound and Outbound teams during peak volume, including processing returns and shipping per carrier and dangerous-goods requirements

  • Identify recurring process breakdowns and recommend improvements to leadership

  • Serve as backup to the Team Lead, acting as the team's go-to resource for unique issues, leading Tier 1 and afternoon handoff huddles, and keeping the team aligned and clear on priorities when the Team Lead is out

What you need

Required

  • High school diploma or equivalent

  • 2+ years of experience in logistics, inventory control, customer service, or operations

  • Working proficiency in Microsoft Office suite

  • Proficiency in Excel (filters, lookups, pivot tables) and ability to learn new systems quickly

  • Clear written communication, strong attention to detail, and persistence in following up on time-sensitive requests

Preferred

  • Associate’s or Bachelor’s degree in supply chain, business, or related field

  • Experience in medical device loaner, consignment, or field inventory operations

  • Experience with SAP, WebOps, and/or Power BI

  • Familiarity with batch/serial-controlled inventory
