Full job description

Description We are looking for a detail-oriented Procurement Specialist to support purchasing and order management activities for a long-term contract opportunity in Westlake, Ohio. This fully onsite role is ideal for someone who thrives in a fast-paced service environment and can balance accuracy, coordination, and timely follow-through across multiple transactions. The person in this position will work closely with internal partners to keep procurement operations organized, responsive, and compliant with established procedures.

Responsibilities:

  • Evaluate customer purchase orders alongside sales quotations to confirm pricing, product details, and order accuracy before processing.

  • Prepare and release purchase orders for materials and services while ensuring complete and timely documentation.

  • Maintain product and item records within internal systems with a high degree of precision and consistency.

  • Handle return authorization activity and related customer credit processing in an efficient and accurate manner.

  • Oversee procurement-related workflow across purchasing, order fulfillment, invoicing, and payment coordination to support smooth daily operations.

  • Use business systems and tools such as Excel, Outlook, Salesforce, and NetSuite to manage records, track activity, and complete transactional tasks.

  • Partner with teams across sales, operations, and finance to resolve discrepancies, answer questions, and keep orders moving forward.

  • Support adherence to procurement guidelines and internal controls through accurate processing and documentation practices.

  • Recommend practical improvements that increase efficiency, reduce errors, and strengthen procurement operations.

  • Provide consistent administrative follow-up on open items, pending actions, and status updates to ensure deadlines are met. Requirements • Experience in procurement, purchasing support, or a related administrative operations role.

  • Working knowledge of purchase order processing, buying activities, and core procurement functions.

  • Strong proficiency in Microsoft Office, with advanced Excel skills and comfort using Outlook for daily communication.

  • Hands-on experience with Salesforce and NetSuite; familiarity with additional enterprise systems is a plus.

  • Ability to compare documents carefully, identify discrepancies, and maintain highly accurate records.

  • Strong organizational skills with the ability to manage follow-ups, prioritize tasks, and execute instructions reliably.

  • Effective communication skills and the ability to collaborate with cross-functional stakeholders in a collaborative environment.

  • Background in corporate procurement and exposure to contract negotiation support are beneficial.
