Description
We are looking for a Workplace Coordinator to help create a smooth, welcoming, and productive office experience for employees and visitors in Bellevue, Washington. This Short-Contract position is well suited for someone who thrives in a fast-paced setting, takes initiative, and enjoys keeping workplace operations organized and running efficiently. The role supports an on-site office environment on a part-time schedule of approximately 20–25 hours per week with some flexibility in hours.
Responsibilities:

Oversee day-to-day office activities to ensure the workplace remains organized, functional, and ready to support a busy team environment.

Maintain office inventory by tracking supplies, restocking essential items, and coordinating vendor orders as needed.

Greet guests, answer inbound calls, and respond to routine workplace inquiries with professionalism and a service-focused approach.

Coordinate calendars, room usage, and logistics for meetings, workplace activities, and employee events.

Support payroll-related administrative tasks with accuracy and appropriate follow-through across the full cycle process.

Assist with dispatching and internal coordination needs to help teams stay informed and on schedule.

Contribute to a positive office culture by helping plan and organize employee engagement activities and day-to-day workplace support.

Identify operational gaps and take proactive steps to improve office efficiency, consistency, and overall employee experience.
Requirements • At least 2 years of experience in office coordination, workplace support, administrative operations, or a related function.

Strong organizational skills with the ability to manage multiple priorities and maintain attention to detail.

Experience handling inbound calls, coordinating schedules, and supporting a detail-focused front-office environment.

Familiarity with payroll administration, including support for full cycle payroll processes.

Ability to work independently in an on-site setting while also collaborating effectively with cross-functional teams.

Clear written and verbal communication skills with a welcoming and detail-focused approach.
