Job Title: Order Fulfillment Specialist

Job Description

The Order Fulfillment Specialist manages customer orders for gas and steam turbine parts from the moment a purchase order is received through final delivery to the customer site. This role enters and maintains orders in SAP or a similar ERP system, coordinates with Engineering, Sourcing, and Shipping and Receiving, and ensures that parts are delivered according to customer requirements and timelines. The specialist closely monitors both short-term and long-term orders, proactively updates delivery dates, and clearly communicates changes to internal teams and customers. In addition, this position provides critical first-line support during equipment outages by locating, prioritizing, and coordinating the movement of essential replacement parts, while also handling order inquiries, quotes, shipment scheduling, billing documentation, and after-hours outage support.

Responsibilities

  • Receive and review customer purchase orders for turbine and power-generation parts to confirm completeness and accuracy.

  • Enter customer orders, part information, delivery dates, and ongoing updates into SAP or another ERP order-management system.

  • Partner with Engineering to confirm that parts, specifications, and technical requirements are fully defined and ready for processing.

  • Coordinate with Sourcing and procurement teams to confirm material availability and obtain updated supplier delivery dates.

  • Maintain accurate and current order information across SAP, Excel, and other tracking or reporting systems.

  • Monitor orders with both short-term and long-term delivery schedules, including orders that may remain open for several months or longer.

  • Track order status from receipt through shipment and delivery, ensuring that milestones and deadlines are met whenever possible.

  • Communicate order status, schedule changes, potential delays, and shipment details to customers and internal stakeholders in a timely and professional manner.

  • Work closely with Shipping and Receiving to coordinate the release, shipment, and delivery of parts to customer sites.

  • Prioritize and respond to urgent requests during forced outages or other equipment emergencies to minimize customer downtime.

  • Locate critical parts and coordinate with domestic and international teams, including teams in Japan, when equipment is down.

  • Manage multiple open orders, customer requests, and shifting priorities in a fast-paced environment.

  • Research and resolve order discrepancies, missing information, shipment issues, and purchase-order concerns.

  • Prepare quotes and assist with pricing-related order details as needed.

  • Assist with billing documentation to support accurate invoicing and timely payment processing.

  • Provide clear and timely status reports for outstanding customer orders to internal stakeholders and leadership.

  • Maintain accurate customer, order, and shipment documentation in all relevant systems and files.

  • Provide responsive customer service and sales support related to order entry, order status, and delivery questions.

  • Support and participate in a rotating after-hours on-call schedule to assist with outage-related and time-sensitive needs.

Essential Skills

  • Experience in order fulfillment, customer service, supply chain, logistics, purchasing, production planning, or a similar order-management role.

  • Hands-on experience entering and maintaining information in SAP or another ERP or order-management system.

  • Strong Microsoft Excel skills, including the use of basic formulas, VLOOKUP or XLOOKUP, sorting and filtering, and maintaining large data sets.

  • Proven ability to review and manage large amounts of order and customer data with strong attention to detail and data-entry accuracy.

  • Demonstrated ability to manage multiple open orders and frequently changing delivery dates.

  • Strong written and verbal communication skills for clear interaction with customers and cross-functional internal teams.

  • Ability to communicate professionally, provide status updates, and explain schedule changes or issues to customers and stakeholders.

  • Comfort working in a fast-paced, high-pressure environment where priorities can change quickly.

  • Strong problem-solving skills and persistence in following up on open issues until resolution.

  • Ability to stay organized while handling multiple orders, systems, and competing deadlines.

  • Willingness and availability to participate in the required after-hours on-call rotation.

  • Ability to perform under pressure and support urgent, outage-related requests.

  • Customer service mindset with a focus on responsiveness and reliability.

  • Experience with order processing, order entry, and order fulfillment activities.

  • Experience coordinating across functions such as Engineering, Sourcing, Shipping, and Sales Support.

Additional Skills & Qualifications

  • Experience supporting gas and steam turbine parts or power-generation equipment is beneficial.

  • Back ground in inventory, materials management, or parts management is helpful.

  • Experience with sales support or customer support related to technical or industrial products is an advantage.

  • Familiarity with tracking orders across domestic and international locations, including coordination across time zones.

  • Comfort using Excel and other tools to create and maintain status reports and tracking documents.

  • Ability to quickly learn new ERP or order-management systems and internal processes.

  • Strong follow-through and ownership of tasks from order receipt through delivery.

  • Ability to collaborate effectively with cross-functional teams in Engineering, Sourcing, Shipping and Receiving, and Finance.

Work Environment

You will typically work about 50 hours per week, Monday through Friday, with a rotating on-call schedule to support after-hours outage needs. When on call, support may range from a few hours for routine issues to extended periods, such as 30 or more hours, during major forced outages. The pace is fast and can become high-pressure during equipment emergencies, requiring quick decision-making, strong coordination with internal teams, and consistent communication with customers. Work is primarily computer-based, involving frequent use of email, phone, and collaboration tools to coordinate with Engineering, Sourcing, Shipping and Receiving, and other internal groups.

This is a Contract to Hire position based out of Orlando, FL.

Pay and Benefits

The pay range for this position is $25.00 - $37.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
