Full job description

Description

Our client is seeking a highly experienced Senior Accountant or QuickBooks Cleanup Consultant for a short-term engagement focused on reviewing, correcting, and stabilizing accounting records in QuickBooks. This role was created after leadership changes and the discovery of significant accounting errors made by a prior resource who lacked sufficient QuickBooks expertise.

The primary objective of this engagement is to ensure that cash activity is accurately recorded in QuickBooks and reconciled to bank statements, with a particular focus on FY 2026 activity and select FY 2025 transactions. This individual will need to quickly assess multiple receipt and deposit streams, identify discrepancies, and restore confidence in the general ledger.

Key Responsibilities

  • Review and correct general ledger activity in QuickBooks, with primary emphasis on cash transactions

  • Reconcile cash in the general ledger to bank statements and research discrepancies

  • Investigate issues identified during the independent audit, including instances where bank cash did not match the ledger

  • Analyze and correct deposit activity, including understanding how funds are received and recorded

  • Review and match multiple receipt types, including:

  • Online ticket sales

  • Concessions

  • Donations

  • Purchases

  • Manual receipts

  • Ensure deposits are properly classified and matched within QuickBooks

  • Assess accounting activity within a dedicated bank account

  • Focus on cleaning up FY 2026 accounting activity, with some review of FY 2025 transactions

  • Identify errors made by prior staff and make correcting entries as needed

  • Work closely with internal stakeholders to clarify historical transactions and cash flow processes

  • Partner with contacts already involved in related processes, including purchasing stakeholders

  • Help bring clarity and structure to accounting records so that related areas such as inventory, AP, and AR can be accurately supported once cash is resolved

  • Recommend practical QuickBooks and accounting process improvements to reduce future errors

Requirements

Qualifications

  • Strong hands-on QuickBooks experience required

  • Proven success in accounting clean-up, remediation, or catch-up projects

  • Strong understanding of general ledger accounting, cash reconciliations, and bank reconciliations

  • Ability to identify and resolve misclassified or unmatched deposits

  • Experience working with multiple cash receipt streams and reconciling them accurately

  • Strong knowledge of GAAP and proper transaction recording

  • Ability to work independently, investigate issues thoroughly, and quickly understand accounting workflows

  • Strong attention to detail and problem-solving skills

Preferred Background

  • Prior experience supporting organizations with complex or high-volume receipt activity

  • Experience cleaning up accounting records after turnover or system/process misuse

  • Background in environments with multiple sources of deposits or manual receipt processes

  • Bachelor’s degree in Accounting, Finance, or related field preferred

The ideal candidate is a hands-on accounting professional who can quickly step into a messy QuickBooks environment, understand several types of incoming receipts and deposits, and bring order to the cash activity first. This person should be comfortable untangling prior errors, reconciling bank activity to the ledger, and helping the client establish a clearer path forward.
