Full job description

Description

We are looking for a Contracts Administrator to join an Long Beach based aerospace organization on a Long-term, Part time, Remote Contract assignment. This position supports contract oversight and day-to-day administrative coordination, working closely with leadership, vendors, consultants, and external service partners. The role is ideal for an organized individual who can keep documentation accurate, maintain organized records, and help operations run efficiently in a fast-moving environment.

Responsibilities:

  • Oversee the review and tracking of business agreements, including vendor, consultant, and service-related contracts, to ensure documentation remains current and properly managed.

  • Examine nondisclosure agreements for accuracy, completeness, and alignment with internal expectations before routing them for further action.

  • Partner with outside vendors, consultants, and payroll-related service providers to support timely communication and smooth coordination of deliverables.

  • Assist leadership with administrative activities such as calendar support, meeting planning, follow-up on priorities, and other executive coordination needs.

  • Maintain well-structured contract files, reference materials, and administrative records so information is easy to access and audit.

  • Track key dates, renewal deadlines, and unresolved contract items, raising concerns when attention or escalation is required.

  • Support invoice-related follow-up, billing coordination, and vendor correspondence tied to payroll and other external services.

  • Contribute to the refinement of contract templates, tracking methods, and administrative workflows to improve consistency and efficiency.

  • Provide knowledge transfer support during onboarding and transition activities to help preserve continuity of responsibilities

Requirements • Previous experience in contract administration, executive support, legal support, or a similar administrative function.

  • Ability to review contracts, NDAs, and related business documents with a high level of accuracy and attention to detail.

  • Experience working with vendors, consultants, payroll service providers, and internal stakeholders across multiple priorities.

  • Strong organizational, written, and verbal communication skills, with the ability to manage several tasks at once.

  • Proven ability to handle sensitive or confidential information with sound judgment and discretion.

  • Comfortable operating in a fast-paced startup setting where priorities may shift quickly.

  • Proficiency with common business applications, document management systems, and administrative tracking tools.

  • Aerospace, startup, or services experience is beneficial.
