Enrollment Registrar Specialist (HEOa)

POSITION DETAILS

As part of the Records and Transcript unit of the office, the candidate will support and assist in record maintenance activities and processes. This position will serve in the functional role of Customer Service Specialist for the Office of the Registrar. In this role, the Customer Service Specialist acts as an intermediary to

provide guidance and assistance to the counter staff and students, while maintaining the continuity of Registrar

One Stop-related services. The candidate will require thorough knowledge of the enrollment processes in

CUNYfirst for all students (new and continuing).

The main duties of this role are comprised of the following:

Registrar One Stop counter management:

  • Creation and maintaining counter schedules, late night rotations, and consistency of coverage.

  • Aid Registrar staff for any student related concerns that arise during hours of operation; triage and assess any concerns and provide guidance and/ solutions.

  • Make certain all informational resources at the Registrar One Stop counter are maintained and are up to date.

Liaison for Parchment Transcript Services:

  • Aid in processing of transcripts orders that require additional research.

  • Communicate to constituents the current online services; provide guidance for customer service-related questions and concerns to learners.

Document Scanning Project of Legacy/ Archive Records:

  • Make certain archive records that are scanned locally on campus.

  • Coordinate with Deputy Registrar for regularly scheduled transmission of scanned records to the Central Office.

Processing of Advanced Placement exams:

  • Utilizing query reporting tools to identify and post course equivalencies as test credits, including Advanced Placement (AP) examination credit

  • Assisting with the review and updating of official student academic records. Additional duties and responsibilities as assigned by the Senior Registrar and Deputy Registrar.

QUALIFICATIONS

Bachelor's Degree and four years' related experience required.

CUNY TITLE OVERVIEW

Administers College registration operations under management direction.

  • Coordinates registration services such as grade collection entries and changes, publication of semester course offerings, final examination schedules, classroom scheduling and requests for student information

  • Promotes policies and procedures in compliance with local, state and federal rules and regulations; advises College personnel regarding the development and implementation of responses to regulatory changes

  • Oversees the conformity of record release procedures to management policies and legal requirements, including the Family Rights and Privacy Act (FERPA) and other applicable laws and regulations governing the confidentiality of student records

  • Creates and reviews student communications from the Registrar's Office; ensures transcript and Degree verification requests are handled in a timely manner

  • Recommends and implements improvements to office operations; assists with strategic planning

  • Prepares reports and analyses on registration activities

  • May train faculty and staff on retention techniques, record-keeping protocol and/or registration systems

  • May supervise office operations and/or department budget

  • Performs related duties as assigned.
