Duties

  • Records Coordinator. Administers paper and electronic filing systems, develops file plans, and ensures proper organization, retrieval, transfer, and disposal. Conducts compliance reviews and assists staff with records policies and procedures.
  • Provides executive administrative support to leadership. Manages calendars, schedules, and official visits. Reviews and tracks correspondence, drafts memos and reports, and handles visitor inquiries with discretion. Coordinates with senior officials.
  • Coordinates office administration, supplies, equipment, workspaces, and workflows. Assists staff with office procedures and manages external taskers. Prepares reports and memos while coordinating scheduling and personnel actions with partners.
  • Provides civilian HR administrative support. Manages onboarding, training records, and personnel databases. Tracks personnel actions, recruitment, and awards. Assists employees and supervisors with routine procedures and coordinates with HR offices.
  • Performs other administrative and office support duties as assigned.

Qualifications

You may qualify for consideration if meeting time-in grade, specialized experience, education requirement, 90 days after competitive appointment requirement, and all other qualification requirements within 30 calendar days after the closing date of the announcement, unless otherwise indicated on the announcement. You must meet the minimum qualification requirements as stated in the Office of Personnel Management (OPM) Operating Manual, Qualification Standards for General Schedule Positions, http://www.opm.gov/qualifications/Standards/group-stds/gs-prof.asp. Specialized Experience: For the GS-9: You must have one year of specialized experience equivalent to at least the next lower grade, GS-7. Specialized experience must be documented in your resume. Specialized experience includes: Demonstrated ability to independently administer records management programs, provide executive-level administrative assistance, and coordinate complex daily office operations. Volunteer Experience: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual, community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

Substitution of Education for Specialized Experience: For the GS-9: Two full years of progressively higher level graduate education, Master's or equivalent graduate degree, may be substituted to meet the specialized experience requirement. If you are using education to substitute for the specialized experience, you must submit transcripts at the time you apply. Combinations of successfully completed graduate level education and experience may be used to meet total experience requirements. Official Transcripts: If the position you are applying for has a positive degree requirement or education forms the basis for qualifications (i.e. you would not qualify without the education obtained), you MUST submit transcripts with your application. Official transcripts are not required at the time of application outside of what is outlined above; however, official transcripts must be verified PRIOR to appointment. You must show proof the education credentials have been deemed to be at least equivalent to that gained in a conventional U.S. education program. Qualifying education from colleges and universities in foreign countries must be evaluated in terms of equivalency to that acquired in U.S. colleges and universities.
