This position exists to support the agency operations of the Minnesota Department of Children, Youth and Families. Under general supervision, incumbent sorts and distributes incoming Federal and state mail and prepares outgoing mail. Consults with Department of Administration Central Mail to make recommendations on use of post office boxes and street delivery based on business needs. Establishes and modifies procedures to increase the operational efficiency of the mailroom, receiving and central supply. Receives shipments at loading dock and processes these shipments according to agency procedures. Determines inventory needs of agency by analyzing usage reports and applying knowledge of inventory practices for computer peripherals, standard office supplies, copier supplies, and other business inventory as required. Maintains secure storage of agency assets. Acts as agency Sustainability Coordinator for approximately 90,000 square foot leased agency facility. Partners with Procurement on asset life, staff assigned asset tracking, and proper disposal of retired assets. Coordinates with reception staff to ensure coverage of reception desk and main agency phone line.

Responsibilities include:

  • Perform the associated tasks in the receipt, processing and distribution of all incoming and outgoing deliveries, postal and interoffice mail to DCYF. This process should be clearly defined and maintained in approved DCYF policies. Support Procurement in maintaining accurate records of current assets and proper disposal of assets at end of life.

  • Acts as agency Sustainability Coordinator following the Office of Enterprise Sustainability job description for facilities under 1,000,000 square feet.

  • Coordinate back-up coverage for main agency phone line and reception desk between staff. Act as resource for customer service technical issues for reception desk staff.

  • Determines inventory needs of agency by analyzing usage reports and applying knowledge of inventory practices for computer peripherals, standard office supplies, copier supplies, and other business inventory as required. Maintains secure storage of agency assets.

Minimum Qualifications

To facilitate proper crediting, please ensure that your resume clearly describes your experience in the areas listed and indicates the beginning and ending month, day and year for each job held.

  • Knowledge of communications sufficient to fluently communicate, read, understand, and respond to a variety of communications, such as customers’ questions, product catalogs, requisitions, purchase orders, detailed instructions and procedures, inventory records, and distribution lists.

  • Knowledge of Accounts receivable and computerized billing systems sufficient to enter and access information, and identify and correct errors.

  • Database and data entry experience sufficient to create an inventory record system of materials using database software.

  • Skill in customer service to contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other concerns.

  • Skill in data entry sufficient to evaluate the agency’s existing data entry organization methods and recommend improvements.

  • Ability to analyze and make recommendations to management for new or revised administrative and program practices and procedures for smooth and efficient office operation.

Preferred Qualifications

  • Skill in using computerized inventory management software systems and applications to track the status of requisitions, contracts, and orders.

  • Experience managing visitor access, facility or building security systems, and handling confidential or sensitive information appropriately.

  • Ability to prioritize multiple tasks in a fast-paced environment while maintaining attention to detail and accuracy.

  • Ability to explain laws, rules, regulations, standards, policies, and procedures to clients, coworkers, and customers.

  • Variety of experiences working effectively with others from different backgrounds and cultures.

Physical Requirements

  • Work in a seated or standing position for extended periods of time.

  • Move and/or transport items weighing up to 25 pounds on a regular basis.

  • Frequently bend, lift, and maneuver items daily including lifting items weighing up to 25 pounds on to shelves.

  • Ascend/descend heights while holding small items weighing up to 10 pounds.

  • Collect, transport, unload, and sort items weighing up to 40 pounds during delivery routes.
