Full job description
Description We are looking for a service-focused Client Advocate to support financial advisors and tax professionals while helping create a smooth and responsive client experience in Santa Rosa, California. This position combines client service, operational coordination, and administrative support, making it ideal for someone who is organized, resourceful, and comfortable managing multiple priorities. The successful candidate will play an important role in preparing client materials, addressing service needs, and keeping daily activities on track in a detail-oriented financial services environment.
Responsibilities:

Prepare reports, presentation materials, and supporting documentation for advisor and tax preparer meetings, ensuring information is complete, accurate, and ready for client use.

Respond to client service matters by coordinating with internal and external partners to research issues, provide updates, and help bring concerns to resolution.

Monitor recurring tasks, deadlines, and follow-up items to keep work progressing efficiently and in line with established procedures.

Support the development of financial planning and tax-related materials by gathering needed information, organizing data, and reviewing details for accuracy before client discussions.

Maintain compliance with firm standards, regulatory expectations, and documented processes in all client and administrative activities.

Coordinate calendars, schedule meetings, answer incoming client communications, and help maintain orderly records and files.

Contribute to a positive client experience by handling requests effectively, communicating clearly, and anticipating support needs for the advisory team. Requirements

At least 1 year of experience in financial services, client services, or a closely related work environment.

Bachelor’s degree in finance, business, or a related field is preferred.

Strong verbal and written communication skills with the ability to interact effectively with clients, advisors, and business partners.

Excellent attention to detail and solid organizational skills for managing multiple assignments and deadlines.

Ability to balance competing priorities in a fast-paced, service-oriented setting.

Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.

Strong problem-solving ability and confidence using technology and learning new software tools quickly.

Series 65 certification is a plus.
