Loan Closer

Description We are looking for a detail-oriented Loan Closer to support post-closing mortgage operations in Pewaukee, Wisconsin. In this role, you will help ensure loan files are complete, accurate, and properly documented while coordinating the resolution of outstanding collateral and trailing document items. This position is ideal for someone who is organized, responsive, and comfortable working with internal teams and external partners to keep post-closing activities moving efficiently.

Responsibilities:

• Examine closed mortgage files to confirm documents are accurate, complete, and aligned with investor, client, and servicing expectations.

• Evaluate collateral packages including notes, recorded security instruments, assignments, title documentation, endorsements, and related file components.

• Oversee exception pipelines, aging reports, shared inboxes, and task queues to identify items requiring follow-up and timely resolution.

• Investigate missing paperwork, recording defects, and document inconsistencies, then coordinate corrective action with the appropriate parties.

• Communicate with title agencies, settlement partners, custodians, clients, and other stakeholders to clear outstanding documentation issues.

• Maintain status tracking for trailing documents from receipt through review, certification, and final resolution.

• Support collateral certification efforts, quality reviews, audits, and other control activities tied to post-closing operations.

• Perform document imaging, indexing, categorization, and records maintenance to preserve accurate collateral files.

• Contribute to process improvement efforts, procedural updates, system-related testing, and special assignments as needed. Requirements • At least 1 year of experience in mortgage operations, post-closing, loan documentation, trailing documents, or document custody.

• Working knowledge of mortgage file components and collateral documentation, including recorded instruments and title-related documents.

• Strong attention to detail with the ability to identify discrepancies, missing items, and documentation exceptions.

• Ability to manage multiple work queues, reports, and priorities while meeting deadlines in a fast-paced environment.

• Effective written and verbal communication skills for coordinating with internal departments and external business partners.

• Sound judgment in researching issues, applying established procedures, and escalating complex situations when necessary.

• Proficiency with document handling activities such as review, imaging, indexing, and file maintenance.
