The Patient Registration Manager plays a key role in providing the highest quality of patient care while the patient is at Union Health. The Patient Registration team plays an integral role by managing the hospital’s database, updating patient’s information, confirming insurance details, taking calls, responding to patients’ inquiries and concerns, and assuring that services are provided within professional standards and organizational policies to assist patients who lean on the Patient Registration team for answers.

Patient Registration Manager Details

Essential Job Duties:

  1. Epic System Work Queue & Workflow Management
  • Manage Epic Work Queues: Monitor and resolve Epic Prelude (Registration) and Cadence (Scheduling) error work queues daily to clear registration, identity, and coverage flags.

  • Enforce Data Integrity: audit staff entries to prevent duplicating patient records and guarantee accurate capture of demographics and guarantor accounts.

  • RTE Oversight: Optimize Real – Time Eligibility (RTE) configuration within Epic to automate insurance verification and check benefit levels instantly.

  • System Upgrades: Partner with Epic application analysts to test, implement, and train staff on system upgrades, optimization workflows, and new features.

  1. Staff Leadership & Operational Excellence
  • Supervise Front-End Staff: Recruit, onboard, train, and manage registration specialists, patient service representatives, and supervisors.

  • Design Epic Workflows: Establish and document standard operating procedures for check-in, check-out, and telephone registration utilizing Epic templates.

  • Monitor Staff Metrics: Track Key Performance Indicators (KPIs) like registration accuracy rates, work queue aging days, and patient wait times.

  1. Front End Revenue Cycle & Compliance
  • Point of Service Collections: Direct policies for collecting co-pays, deductibles, and outstanding patient balances at checkout, ensuring daily reconciliation.

  • Insurance Authorization: Oversee medical necessity checks (using Epic’s ABN tools) and pre-certification.

  • Regulatory Compliance: Ensure all staff verify identity and insurance rules while maintaining strict compliance with HIPAA and emergency medical regulations.

  1. Coordinates, plans, organizes, and evaluates the Patient Registration functions.

  2. Has basic knowledge of the hospital's revenue cycle and is able to coordinate and with acute registration.

  3. Interview, hire and train staff on an ongoing basis.

  4. Perform staff evaluations within the prescribed time frame outlined in performance evaluation and competence assessment policies.

  5. Makes recommendations to the Director of Patient Access or VP of Revenue Cycle

  6. Supports and promotes the organization's goals of Equal Employment Opportunity.

  7. Works closely with the Director of Patient Access or VP of Revenue Cycle to implement changes affecting billing issues and registration processes

  8. Is responsible for staff schedule to maximize cover during peak registration times.

  9. Monitors staff productivity and works with other departments to streamline the registration process.

  10. Approves payroll for the department to ensure budget compliance.

  11. Develop the Annual Budget for operating and capital expenses.

  12. Demonstrates knowledge and understanding of the organization’s policies, procedures and HFAP standards.

Education, Training & Experience

  • Bachelor’s degree in healthcare administration, Business, or related field preferred.

  • Minimum of 3–5 years of healthcare experience specifically within an outpatient medical group or ambulatory setting.

  • Previous health care or supervisory experience required.

  • Has extensive knowledge of the hospital revenue cycle.

  • Hands-on operational experience using Epic Hyperspace preferred.

  • Broad understanding of how front-end registration flows into Epic Resolute (Hospital/Professional Billing) systems.

  • Ability to identify bottlenecks in the clinic check-in processes and engineer software or operational fixes.

  • Ability to be a liaison between clinical leadership, billing departments, and external software support teams.

  • Basic familiarity with medical terminology, insurance payers, and how ICD-10/CPT codes impact front-end authorization.

  • Ability to assess and respond to the needs of departments, leadership and staff.

  • Ability to communicate the English language both verbally and written.

  • Excellent interpersonal and communication skills.

  • Flexible work schedule to meet the demands of the organization.

Preferred Certifications:

  • Epic Certification/Proficiency

  • Healthcare Industry Credentials (CHAM, CHAA)
