About CBRE and Experience Services:
CBRE is the world's largest commercial real estate services firm. Experience by Industrious is CBRE’s global hospitality business that partners with leading companies and landlords to design and operate workplaces people love coming to. We treat the daily experience of work as a product worth obsessing over, and we build our teams with people who feel the same way.
About the Role:
The Meeting and Events Planner turns a client's objective for an event into an event that accomplishes it. You own each event from concept through completion, developing the strategy, managing the budget, and coordinating the vendors that bring it together. You advise clients on what will work, push back when their instincts aren't right, and present proposals that demonstrate a clear understanding of what they're trying to accomplish. You will be successful in this role when you plan and deliver events that meet the client's goals and land on or under budget.
What You'll Do:
Planning & Client Coordination
-
Develop end-to-end event plans and detailed timelines, tracking progress and resolving issues before they reach the client.
-
Run pre-event client planning meetings covering vendors, menu, theme, decor, and budget so clients know what to expect on the day.
Execution & Vendor Coordination
-
Distribute event orders, schedules, and floor plans to vendors, defining set-up, event flow, and tear-down so everyone works from the same plan.
-
Serve as key contact on event day, confirming load-in and set-up and verifying certificates of insurance.
-
Direct event set-up and tear-down, welcome guests, and support attendee and speaker requests.
Reporting & Improvement
-
Conduct post-event reporting and reconciliation of costs against budget.
-
Recommend cost and process efficiencies and present them to management.
-
This Role Is a Good Fit If You:
-
Keep multiple events, vendors, clients, and timelines straight in your head without losing track of any of them, and clients notice nothing falls through the cracks.
-
Enjoy coaching a client on their idea, even when it won't work and always offer something better.
-
Treat the budget like it's your own money, taking so much ownership that you become a go-to partner for executives and their EAs from the moment they conceive of an idea for an event.
-
Obsess over building things: an event, a program, a standard. And it brings you joy to learn from each so that each time you get better.
What You Need:
To perform this job successfully, an individual will need to perform each crucial duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
-
Bachelor's Degree preferred with up to 3 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered.
-
Experience in event planning or hospitality strongly preferred.
-
Demonstrated ability to manage events from concept through execution, including budget management.
-
Comfortable with standard workplace and collaboration tools (email, documents, spreadsheets, and scheduling)
-
Strong preference for experience managing corporate conferences, executive offsites, or large-format events; a background in hospitality or hotel conference services; and familiarity with event management platforms.
