Process and Controls - Education Savings

This job manages day-to-day operational activities and compliance-related controls supporting education savings plans, ensuring accurate, timely, and compliant handling of specialized savings and incentive programs. The role serves as a checkpoint for sensitive account activity, customer communications, and regulatory matters, requiring the individual to research, document, escalate, and resolve issues independently once assigned. Work spans multiple operational functions — including promotional programs, fraud prevention, anti-money laundering, privacy, and complaint tracking — and requires close coordination with legal, compliance, and risk partners.

Key Responsibilities and Duties

  • Oversees the day-to-day administration of specialized education savings and incentive programs, including matching grant and promotional savings initiatives, ensuring required reporting is completed accurately and large or unusual transactions are properly reviewed and resolved

  • Reviews account activity across multiple data sources to identify items exceeding established thresholds, escalating and documenting findings in accordance with applicable policies

  • Creates and maintains tracking logs and internal SharePoint sites supporting fraud prevention, AML, privacy, and complaint escalation functions

  • Evaluates and tests internal processes and systems, and coordinates the documentation, approval, and communication of new or updated policies and procedures

  • Partners with legal, compliance, and risk teams to ensure sensitive items and transactions are researched, escalated, and processed in accordance with regulatory requirements

  • Maintains and updates client account forms, coordinates statement messaging and production schedules, and conducts annual reviews of legal disclosures included in customer communications

  • Responds to vendor inquiries and customer complaints, ensuring timely research, documentation, and resolution, and monitors work queues daily to maintain accuracy and adherence to procedure

Educational Requirements

  • University (Degree) Preferred

Required Qualifications

  • 3+ years of business management experience in financial services

  • Proficiency in Microsoft Word, Excel, PowerPoint, and PDF tools

  • Familiarity with AI tools, such as ChatGPT and Copilot

  • Strong interpersonal & communication skills (written as well as verbal)

Preferred Qualifications

  • 5+ years of business management experience in financial services

  • Transfer agency (record keeping) experience in financial services strongly preferred

  • Prior experience with 529 products

Anticipated Posting End Date:

Base Pay Range: $69,000/yr - $95,000/yr

Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location. In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary incentive programs, non-annual sales incentive plans, or other non-annual incentive plans).
