Full job description

Intellisense Systems, Inc.  is a privately held, Southern California-based technology innovator with a proven track record of developing and deploying innovative products that successfully operate in the most extreme environments. We solve tough, mission-critical challenges for our customers in the aerospace, defense, and commercial markets, delivering the full data continuum from sensing and embedded processing to video integration, displays, and data/video recording and storage for airborne and ground vehicle platforms. Our portfolio also includes environmental and maritime sensing and smart power management systems, engineered to the highest levels of safety certification and built with embedded cybersecurity and advanced encryption capabilities.

The Human Resources Administrator II owns the Company’s 401(k) compliance calendar and annual audit package, recurring regulatory filings and compliance recordkeeping, tracks training and reports completion, maintains the Affirmative Action Plan, researches and drafts policies and procedures for review and approval, performs job analysis and maintains the job description library, and oversees the accuracy and timeliness of transactional work performed. While assuring accuracy, compliance, and confidentiality, the position also organizes, processes, verifies, and maintains personnel documentation including staffing, training, and classification records. The position also serves as the department’s designated talent acquisition surge capacity, cross-trained in sourcing and initial candidate screening, and shifts into recruiting support when hiring volume is heavy before returning to core human resources work as volume lightens.

Location: Torrance, CA (Onsite)

Primary Expectations/Responsibilities:

Compliance & Regulatory

  • Retirement Plan Compliance Calendar: Own the recurring 401(k) compliance calendar. Compile and verify data for ADP/ACP, top-heavy, and coverage testing; assemble the annual audit package for the independent plan auditor; support Form 5500 and summary annual report preparation with the third-party administrator; and track issuance of required participant notices including safe harbor, QDIA, fee disclosures under 404(a)(5) and 408(b)(2), and blackout notices. Escalate testing failures and late deposits immediately to the HR Generalist and Vice President of Human Resources.

  • Audit Support: Compile, verify, and reconcile data for the annual 401(k), and Workers’ Compensation audits, and for DCAA, OFCCP, CMMC, and I-9 audits. Serve as the data point of contact for auditors.

  • Training Records: Track and report completion of required training, including SB 1343 harassment prevention, safety, business ethics and conduct, and export-control awareness. Escalate delinquencies to management.

  • Regulatory Filings: Prepare and file the EEO-1 report, VETS-4212, California Pay Data Reporting, and OSHA 300/300A within statutory deadlines. Submit to the HR Generalist or above for review prior to filing.

  • Affirmative Action Plan: Maintain the ongoing Affirmative Action Plan, including applicant and placement data, availability analysis support, good-faith-effort documentation, and recordkeeping.

Administration & Analysis

  • Job Analysis and Descriptions: Research job and worker requirements, structural and functional relationships among jobs and occupations, and occupational trends. Prepare and maintain job descriptions for new hires, transfers, and promotions, as reviewed with the supervisor of the position. Maintain the job description library and grade assignments of record.

  • Leave Administration: Administer FMLA/CFRA and all other employee leave processes. Review and track designations and notices for accuracy and timeliness, and correct process gaps.

  • Benefits Administration: Review and administer benefits invoices for payment, reconcile discrepancies with carriers and Finance, and support open enrollment planning and employee communications.

  • Workers’ Compensation & Ergonomics: Process workers’ compensation claims and administer the Company ergonomics program in coordination with the Workers’ Compensation insurance provider.

  • HRIS Data Integrity: Process new hires, status changes, transfers, promotions, and terminations in Deltek, Costpoint, and ADP. Audit records against source documentation, identify and correct discrepancies with Payroll, and verify recurring management reports before distribution.

  • Reporting & Analysis: Prepare data for analysis and generate the organization chart, headcount, hires and terminations reports, employee extension lists, and ADP benefit deduction and election reports.

Team Support & Events

  • Recruiting Compliance Support: Support the Talent Acquisition track with recordkeeping in our Applicant Tracking System (ATS), posting new requisitions, applicant flow and disposition data reconciliation for the Affirmative Action Plan, interview scheduling, and OFCCP audit preparation. This position will learn to: develop sourcing skills, conduct initial screening, and coordinate interviews with candidates and staffing agencies.

  • HR Event & Communication Calendar: Plan the annual HR event and communication calendar — open enrollment, benefits fair, flu shot clinic, service awards, and required training cycles — and prepare the supporting budget for review.

  • Front Desk Back-Up : Serve as back-up for front desk coverage during rest breaks and meal periods. This is occasional coverage and is not a primary duty of the position.

  • Cross-Training: Review procedures, training, and work assignments with the HR Coordinator and HR Assistant under the direction of the HR Generalist or HR VP.

Please Note: Job responsibilities within our organization are dynamic. This may not be a complete list of duties. Other responsibilities and duties may be assigned by your supervisor or upper management at any time.
