The University of Texas MD Anderson Cancer Center is a leading institution focused on cancer care, research, education, and prevention. The Event Technician plays a critical role in supporting the delivery of high-quality events, meetings, conferences, and educational activities across the institution's extended campus. Through technical expertise and exceptional customer service, the Event Technician helps ensure seamless event experiences for faculty, staff, and guests.
Within the Event Services department, part of Facilities Administration under the Division of Facilities Management, the Event Technician is responsible for coordinating, maintaining, and operating audio visual, web conferencing, computer lab, and video technologies. The Event Technician supports room and equipment setup, technical operations, quality control, and inventory management. The Event Technician partners with clients and internal teams to ensure successful event execution while maintaining operational and safety standards throughout UT MD Anderson.
Ideal candidate is a customer-focused professional with three or more years of experience supporting conference rooms and audiovisual technology in a higher education, healthcare, or hospitality environment. The ideal candidate will possess hands-on experience with Crestron and Extron control panels, audiovisual system setup and troubleshooting, event operations, and client support, ensuring seamless meeting and event experiences. Strong technical aptitude, problem-solving skills, and a commitment to exceptional customer service are essential.
This role combines technical expertise and customer service in a mission-driven healthcare environment. You'll support a variety of meetings and events, troubleshoot audiovisual technology, and help deliver seamless event experiences. The position offers opportunities to work with evolving technologies and contribute to continuous improvements in event operations. This is an onsite role with a typical schedule of Monday through Friday, 8:00 AM to 5:00 PM, with flexibility required to support event needs.
Salary Range: $45,500 - $57,000 - $68,500
Typical Work Schedule: Monday through Friday, 8:00 AM - 5:00 PM, subject to change as needed
Work Location: Main Campus, Full time onsite.

Responsibilities
Asset Management
-
Coordinate with supervisors and fellow Event Technicians to track movement of event inventory and prevent equipment loss, theft, or misplacement.

Notify leadership of equipment repair and service needs.
-
Perform periodic preventative maintenance activities to support the long-term functionality of audio visual equipment.
Communication
-
Maintain exceptional communication with clients and interdepartmental personnel.
-
Advise faculty and staff on the operation and use of audio visual equipment.
-
Protect confidential and proprietary information associated with Event Services operations.
Event Setup, Technical Operations & Client Support
-
Set up institutional events using Event Management System reports, diagrams, and written or verbal specifications.
-
Arrange participant, catering, registration, exhibit, and panelist tables, linens, chairs, risers, podiums, and poster boards.

Review audio visual requirements with clients and provide in-room technical support.
-
Operate, troubleshoot, and support audio visual control panels, microphones, sound systems, screens, projectors, monitors, video conferencing equipment, web conferencing equipment, computers, recording equipment, cables, video switchers, sound boards, peripherals, and related electronic systems.

Perform computer lab support including chair straightening, printer toner replacement, paper replenishment, supply stocking, headphone verification, and equipment functionality checks.

Notify 4-INFO and supervisors regarding technical issues requiring additional support.

Tear down events and properly return equipment to designated storage locations.

Produce and post electronic and paper event bulletins and door signage daily.
Facilities & Operational Standards

Ensure event furnishings remain clean through direct action or coordination with Facilities personnel.

Wipe down tables, credenzas, chairs, podiums, and millwork as needed.

Notify supervisors and Facilities personnel regarding issues affecting event areas, restrooms, lighting, furnishings, aesthetics, and structural integrity.

Submit 3-5000 and 4-INFO service tickets when maintenance or technical work is required.

Maintain compliance with operational procedures, Life Safety standards, and ADA guidelines.

Coordinate with leadership to remain current on emerging technologies and platforms, including Camtasia, Lync, Webex, Skype, and similar solutions.

Educate faculty and staff on the use of approved communication and presentation platforms.
Multimedia & Video Conference Support
-
Support multimedia and video conference events across the extended campus.
-
Install, adjust, and operate electronic equipment used to record, edit, and transmit radio, television, motion picture, video, web, and desktop presentations.

Configure and support audio, video, and web conference events using audio visual control systems.
-
Perform live switching of video, audio, and data feeds during events.
-
Serve as room host and secure event spaces after completion of events.
-
Diagnose and resolve media system issues.
-
Switch video sources between cameras, recorded content, network feeds, and local programming.

Mix, regulate, and coordinate audio feeds with video presentations.

Complete special projects and other duties as assigned by management.
EDUCATION
- Required: High School Diploma or Equivalent
WORK EXPERIENCE

Required: 2 years Experience in conference center support, hospitality, media services or related field to include audio-visual set up and projector set up.

Preferred: Three or more years of experience in conference room support within higher education, hospitality, or healthcare settings, along with hands-on experience working with Crestron and Extron control panels and audio/visual setups.
