Full job description
Description We are looking for a Payroll Specialist to support a non-profit organization through a long-term contract opportunity. This role is ideal for someone with strong attention to detail who can manage high-volume payroll operations, maintain accurate financial records, and work closely with internal teams and external partners. The position focuses on timely payroll processing, compliance reporting, reconciliations, and employee support while helping ensure smooth day-to-day payroll and accounting activities.
Responsibilities:

Manage end-to-end payroll processing for a large employee population, ensuring payroll is reviewed, finalized, and submitted accurately and on schedule.

Enter and update payroll-related changes, including deductions, garnishments, and off-cycle payments, while maintaining compliance with applicable requirements.

Produce recurring payroll registers, reconciliations, audit support documents, and accounting entries tied to payroll activity.

Complete quarterly and year-end payroll reporting tasks and assist with the preparation and distribution of tax forms such as W-2s and 1099s.

Monitor employee leave and benefit accrual balances, communicate important payroll deadlines, and review benefit-related payroll charges for accuracy.

Research payroll discrepancies, respond to employee questions, and resolve issues in coordination with Human Resources and third-party payroll providers.

Perform bank reconciliations and support invoice review, coding, and payment processing related to payroll and benefits administration.

Provide guidance to staff on timekeeping procedures and maintain organized payroll files, records, and supporting documentation. Requirements • 3+ years of payroll experience, including full-cycle payroll processing responsibilities.

Experience handling multi-state payroll in a high-volume environment supporting more than 500 employees.

Proficiency with ADP Workforce Now and strong working knowledge of payroll systems and reporting tools.

Understanding of payroll accounting, reconciliations, garnishments, and year-end reporting requirements.

Ability to investigate discrepancies, interpret payroll data, and maintain a high level of accuracy and confidentiality.

Strong communication skills with the ability to support employees, collaborate with Human Resources, and work with external vendors.

Organized and dependable approach to managing deadlines, records, and multiple payroll-related priorities.
