Job Position: Controller

Reports to: Chief Financial Officer

Department: Finance

Classification: Exempt (Non-Overtime Eligible)

As a family-owned business, PCI provides customers fast, secure, and cost-effective transactional communications like invoices, statements, and checks, that are fully compliant with federal regulations including HIPAA, HITRUST, FISMA and SOC 1 and SOC 2 and PCI DSS.

Summary:

The Controller oversees all accounting, reporting and financial systems activities and partners with the CFO, Operations, IT and the Owner to strengthen and integrate processes, controls and systems.

The Controller leads day-to-day accounting operations, supervises a team of five (accounts payable, accounts receivable, inventory and procurement) and owns the Company’s financial systems, including Oracle NetSuite.

This role is part of the Company’s finance succession plan and is expected to grow into the Chief Financial Officer position.

Primary Responsibilities

  • Oversee all accounting activities, including accounts receivable, accounts payable, postage, inventory, general ledger, payroll, monthly close and reporting, in compliance with U.S. GAAP. Lead procurement, including vendor management, strategic sourcing and pricing to keep adequate supplies on hand for production.

  • Finance Systems – Administer NetSuite and supporting integrations and applications, including updates and enhancements.

  • Automation and AI – Lead automation and AI adoption across accounting workflows (e.g., reconciliations, invoice processing, forecasting) with appropriate controls and data security.

  • Ensure proper controls and compliance are in place and operating as designed.

  • Financial Planning & Analysis – Lead the annual budget, forecasts, variance analysis and KPI reporting.

  • Cash Management – Forecast cash flow and manage working capital, banking relationships and postage funding.

  • Audit and Tax – Lead the annual external audit or review and coordinate tax compliance with outside advisors.

  • Cost Accounting – Maintain cost models and customer/job profitability analysis to support pricing decisions.

  • Team Leadership – Recruit, coach and develop the finance team; build bench strength and accountability

  • Executive Communication – Present results and recommendations to the CFO, Owner and leadership team

  • Strategic Support – Partner with the CFO on capital planning, pricing, lender relationships, insurance and due diligence

  • Performs other duties as required

Required Skills and Abilities

  • Proficient with finance systems, preferably Oracle NetSuite, and supporting systems and applications. Understanding and use of SQL would be a preference.

  • Working knowledge of AI and automation tools and their practical use, risks and governance in finance

  • Advanced Excel and BI/reporting tools (e.g., Power BI)

  • Strong knowledge of U.S. GAAP, internal controls and month-end close best practices

  • Proven leadership skills, with a track record of building, coaching and retaining high-performing teams and leading through change

  • Strategic, analytical and adaptable thinker

  • Strict adherence to ethical standards

  • Excellent organizational and communication skills, including presenting to the Owner, executives and lenders

  • Strong time management, prioritization and delegation skills

  • Strong business acumen and a strategic mindset, with the interest and capacity to grow into the Chief Financial Officer role

Education and Experience

  • Bachelor’s degree in Accounting or Finance and at least 8 years of progressive accounting experience, including 3 or more years in a Controller or similar senior management accounting position with direct supervision of staff. CPA strongly preferred; MBA a plus. NetSuite, external audit and inventory-intensive industry experience preferred.
