Position Title:
Program Coordinator I-Employee Engagement and Recognition-HR Talent Development & Learning-Mount Sinai Health System-Hybrid-Full Time-Days
Position Summary:
The Program Coordinator supports Mount Sinai's employee recognition and engagement initiatives while contributing to the broader mission of the Talent Development and Learning (TDL) team. This role coordinates the administrative, operational, and logistical activities that bring recognition programs, milestone celebrations, events, and related initiatives to life, helping employees feel recognized, appreciated, and connected to our mission.
The ideal candidate is highly organized, detail-oriented, and customer-focused, with the ability to manage multiple priorities in a fast-paced environment. Through strong coordination, communication, and project support, this role contributes to creating meaningful employee experiences while ensuring programs are delivered efficiently, accurately, and on schedule.
Qualifications
Education Requirements:
Bachelors degree required, or equivalent education and work experience
Experience Requirements:

1-2 years administrative experience preferred
-
Strong Excel skills preferred, with experience managing and formatting large datasets (40K+ rows of data) and producing reports

Exposure to improvement methodologies such as LEAN preferred

Demonstrated ability to leverage program management tools preferred
General Skills/Competencies:

Excellent time management skills and the ability to manage multiple tasks and priorities effectively

Strong written and verbal communication skills

Strong proficiency in Microsoft Office Suite applications, including Word, Excel, PowerPoint, Outlook, and other business productivity tools.Highly organized with exceptional attention to detail

Compensation Statement:
The Mount Sinai Health System (MSHS) provides salary ranges that comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,482.07 - $75,000.00 Annually. Actual salaries depend on a variety of factors, including experience, education, and operational need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.

Responsibilities
General Coordination
-
Establishes the coordination of basic to complex program and project activities and ensures the quality, timeliness, and integrity of ongoing projects and schedules.

Develops and maintains a detailed project schedule; including administrative tasks and ensures adherence to all deadlines.

Monitors project progress and deliverables, identifies issues early, communicates with management when issues arise, and implements corrective actions as needed.
Administrative Tasks
-
Organizes, leads, and facilitates project-related meetings, including developing agendas and preparing meeting materials. Prepares and/or edits meeting minutes, presentations, and supporting documents.

Manages program email inbox, responding to employee/manager requests and questions while demonstrating excellent customer service and service recovery skills.
-
Maintains detailed records and documentation for all program, project, and event activities, and may develop standardized procedures for storing and managing required documentation.
Data and Reporting
-
Creates, formats, customizes, and maintains large data files in excel to support events, programs, and respond to employee requests/questions.
-
Collects and synthesizes data from various sources and presents findings, including preliminary analysis when applicable. Investigates issues or concerns, conducts background research, and responds to information requests in a timely manner.
Scheduling & Coordinating
-
Organizes and coordinates live and virtual programs, presentations, and special events.
-
Coordinates logistics, technical support and other related activities (e.g. room or Zoom booking, food and beverage, materials)
-
Coordinates participant enrollment and attendance tracking, and ensures timely distribution of pre- and post-session materials.
Program, Presentation, Event Support
-
Assists in the planning, coordination, and execution of programs, presentations and events delivered in virtual, in-person, or blended formats. Responsibilities may include in-person logistical support and virtual production assistance (e.g., Zoom producer role).

Collaborates with presenters and guest speakers to prepare, organize, and coordinate programs. Responds to participant inquiries regarding program details, registration, and logistics, and provides support before, during, and after each session.

Supports the development and implementation of marketing strategies—including print and digital materials—to promote programs and increase engagement. Assist with the creation and execution of the marketing strategy (print and digital)
Virtual Session Production

Serve as behind-the-scenes producer for Zoom-based programs, ensuring smooth set-up and execution

Manage core platform functions including breakout rooms, attendance tracking, music and slides on entry, and troubleshooting in real-time
-
Coordinate with facilitators to prepare technical elements in advance
Conducts other related duties as assigned
